Job description: General Statement of Duties
The Staff Assistant for Intercollegiate Scheduling/Athletic Operations and Head Coach is responsible for coordination of all aspects of intercollegiate scheduling and travel. The staff assistant will also assist with athletics operations and fundraising activities to help increase revenue and solicit opportunities for sponsorships, marketing partners, and community partnerships. The position may also serve as a head coach.
Duties and Responsibilities
Intercollegiate Scheduling * Oversees and executes all scheduling and contracts for intercollegiate competition
Coordinates the assignment and payment of officials for intercollegiate competition for all sports
Coordinates all transportation, lodging, and meal allowances for intercollegiate teams
Responsible for NCAA Transportation Expense System operations for post-season competition for all sports
Assists the Director of Athletics with bid preparation as needed for NCAA post-season events
Prepares requisitions and procures supplies and equipment necessary to travel and operations
Ensures all paperwork for ProCard and budget responsibilities are submitted in a timely fashion as requested by the Director of Athletics
Prepares seasonal and annual budget and reports as requested by the Director of Athletics
Operations Management * Assist with athletic operations and event management as needed
Assist athletic teams and department with organization and implementation of fundraising activities
Work with external constituents and community businesses to develop partnerships and sponsorship opportunities for athletics
May serve as head coach for a team
Collaborate with campus constituents on non-athletic matters
Support Student Life initiatives and programming such as student orientation, move-in and Viking plunge
Value diversity demonstrate sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds
Serves on committees as assigned
Qualifications
Required Qualifications:
Bachelor's degree in Sports Management or similar field
Three years of more direct experience in event scheduling or travel preparation, and coaching in a collegiate setting or similar level of athletics
Experience with and knowledge of accounting procedures and budget preparation
Knowledge of NCAA rules and regulations
Experience in fundraising and/or sponsorship solicitation
Experience organizing and implementing a master calendar of events
Preferred Qualifications:
Ability to supervise personnel
Ability to communicate with faculty, staff, and students concerning intercollegiate events
Working Conditions:
This is an on-site, in-person position which requires a flexible work schedule. Seasonal evenings, weekends, and travel are required.
Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
