Job Overview

Join our dedicated team as a Scheduling Care Coordinator, where you will work collaboratively to design and implement optimal scheduling strategies that prioritize the needs of our clients based on clinical recommendations. Reporting to a Scheduling Care Supervisor and Regional Scheduling Manager, your exceptional organizational abilities and analytical mindset will be pivotal in ensuring effective and thorough care coordination.

Key Responsibilities
• Partner with the Scheduling Care Supervisor and Regional Scheduling Manager to fully understand scheduling protocols and execute processes that facilitate optimal client schedules.
• Formulate scheduling plans and coordinate care in alignment with clinical directives.
• Proactively identify and resolve scheduling challenges, including cancellations, conflicts, and electronic medical record discrepancies, with guidance from supervisory staff.
• Manage appointment cancellations and organize substitute coverage or rescheduling as necessary, adhering to established scheduling policies.
• Provide timely scheduling updates to patients and therapists via email or other communication channels.
• Collaborate with team members to guarantee the highest quality treatment plans for clients.
• Anticipate potential scheduling complications and effectively communicate insights through the appropriate channels.
• Process requests for therapist availability and time-off, ensuring supervisor approval via the scheduling helpdesk.
• Handle pre-authorizations and submit patient benefits cases for services as required.
• Manage a significant volume of calls, emails, and portal messages, addressing helpdesk tickets efficiently.
• Uphold HIPAA regulations to protect patient confidentiality in all communications.
• Prioritize tasks, manage deadlines effectively, and complete assignments as directed by supervisors.
• Assist with various special projects and administrative responsibilities as needed.
• Exhibit flexibility in scheduling to meet departmental needs, including potential evening and weekend shifts.
• Undertake additional duties as required to support team and organizational objectives.

Required Skills
• Proficiency in Microsoft Word, Excel, and relevant internet applications.
• Strong command of English grammar, composition, and spelling.
• Experience in delivering exceptional customer service and understanding customer satisfaction principles.
• Familiarity with HIPAA regulations to safeguard patient information.
• Capability to effectively manage a high volume of communications, including calls, emails, and portal messages.

Qualifications
• A Bachelor's degree is preferred.
• A minimum of 2 years of scheduling experience within an office environment is preferred.
• Knowledge of administrative procedures, record management, and office systems.
• Physical demands include the ability to stand, walk, sit, kneel, or lift up to 40 pounds, with reasonable accommodations as necessary.
