Traveling Project Coordinator

The Traveling Project Coordinator is responsible for job scheduling, quality control, and providing administrative support for project management in alignment with company policies and objectives, while also requiring extensive travel to project sites.ResponsibilitiesAssists with the planning and scheduling of all assigned projects, to optimize efficiencies of labor costsMay coordinate and communicate scheduling of field and service technicians with vendors, utility companies and customersCompletes and submits appropriate paperwork as neededProvides project start-up support and task tracking including contracts, proposal letters, field data, etcEnsures accurate and timely tracking information is entered into and maintained in appropriate systems and communicates appropriately with project management and other staff membersIssues updated reports as requestedTracks and maintains current information on active projects, project opportunities, schedules and/or training activities as requestedWorks collaboratively with ArchKey’s shared business services groupsIf appropriate, functions as a primary point of contact for customers requiring serviceEnsures product orders are processed appropriately and that work is completed, projects are closed and ready to be billedAssists project management staff in assembling project submittals and writing purchase orders to suppliers and subcontractorsIf appropriate, accurately design activities of assigned projects as needed, and archives completed project information for future referenceAssists staff with documentation of Methods of Procedures (MOPs), prepares project status reports and works to ensure plans adhere to contract specificationsMaintains consistency in content and appearance of written documentsUpdates processes and procedures, creates checklists and accountability documents, and communicates effectively via telephone, email, and face to face with field staff, vendors, co-workers, and customersConsistently make decisions in an attentive and safe manner to ensure the safety and health of self and othersUtilizes LEAN concepts or other continuous improvement methodologies to ensure the most efficient operations, processes, and activitiesPromotes and models the Company mission, vision and values through exercising sound and ethical business practices, championing all elements of diversity, equity, and inclusion (DEI) and providing high quality services and programs as they relate to clients, subcontractors, co-workers, suppliers, and the publicSkillsHigh School diploma or equivalentMinimum 0-2 years of experience coordinating project work or a similar roleExperience providing and coordinating support activities in a fast-paced work environment and organizing large amounts of data into understandable formatsStrong organizational skills, scheduling abilities, and detail orientationEffective communication with employees at all levelsExcellent listening, interpersonal, written, and verbal communication skillsEffective independent problem solving, customer service and time management skillsStrong collaboration, initiative, teamwork, and interpersonal skillsDemonstrated high level of integrity and dependabilityDemonstrated mathematical skillsProficient in the use of business scheduling, cost tracking and purchasing systemsStrong process orientationTravel required- mostly regional but could be as much as 90%BenefitsCompetitive health insurance options (medical, dental, and vision)A robust 401(k) retirement savings plan with employer matchPaid time off and holidaysAccess to wellness programsProfessional development opportunitiesTuition reimbursementEmployee assistance programsCompany OverviewArchKey Solutions is an electrical and technology construction firm.
