Sponsorship and Event Logistics Coordinator

Title: Sponsorship and Event Logistics Coordinator Remote: (New York Metropolitan Area or Chicago preferred) Salary: $55,000 - $65,000 Ragan Communications, a leading media company, is seeking an ambitious and detail-oriented professional to join our dynamic team as a Sponsorship and Event Logistics Coordinator. This role involves contributing to all aspects of event logistics while ensuring the success of sponsorship programs. From client management to onsite event execution, you’ll play a pivotal role in delivering seamless and impactful events. This remote position includes regular travel to live events. Responsibilities: • Serve as the primary point of contact for sponsors to ensure their objectives are met, including managing inquiries, deliverables, and deadlines. • Attend live events to manage all sponsorship logistics onsite including set up and tear down. • Assist the marketing team with various tasks while onsite when sponsorship duties allow. • Facilitate sponsorship activations such as private dinners, roundtables, and networking events at conferences. • Collaborate with the events team and venue partners to manage logistics and ensure successful execution. • Work cross-departmentally with digital, content, marketing, web, and design teams to fulfill both sponsorship deliverables. • Provide weekly updates on event and sponsorship logistics to the team. • Assist in creating reports to support sponsor renewals. • Travel regularly to attend and assist with live events. • Handle additional tasks as assigned. Attributes: • Strong organizational and attention-to-detail skills. • Effective time management and ability to prioritize tasks. • Excellent communication and interpersonal skills, including the confidence to engage professionally with executive and C-level contacts. • Adaptability and a customer-centric approach to problem-solving. • Previous experience in customer service, project management, or administrative support is a plus. • Familiarity with Asana or similar project management tools is a bonus. Qualifications: • Bachelor’s degree from an accredited college or university. • Proven ability to work collaboratively within a team. • Advanced written and oral communication skills. • Strong multitasking skills and ability to manage competing priorities. • At least 3 years of full-time professional experience in a corporate setting. • Available for frequent travel.
