Position Summary
The SoPMFT Doctoral Programs Manager and Academic Advisor (PMAA) is responsible for developing and implementing plans that increase student retention, student success, and degree completion in Fuller’s PhD, PsyD, and DMFT Programs in the School of Psychology and Marriage and Family Therapy (SoPMFT) consistent with headcount and units enrollment goals that are set for the degree programs. The PMAA provides academic assistance and individualized attention to students in the PhD, PsyD, and DMFT Programs by sharing knowledge, experience, and insights that are beneficial to students as they evaluate and realize educational opportunities and professional goals. The responsibilities of this role break down into Academic Advising and Program Management.

I. Academic Advising Responsibilities
• Manage a student load of 180 +/- PhD, PsyD, and DMFT students. Responsible for matriculation, retention, and degree completion of assigned students.
• Learn and maintain a working knowledge of the Clinical Psychology and DMFT programs and academic policies and accreditation standards as they apply to advising responsibilities.
• Provide detailed updates and insights about the PhD, PsyD, and DMFT Programs, registration and retention trends, and student success information at Enrollment Meetings.
• Partner with Enrollment Data Science, Program Chairs, and Director of Academic Advising to set program-specific retention strategies, plan, and goals. Track and work toward program-specific retention goals during the registration season.
• Serve as a strategic liaison between Academic Advising, faculty, Dean of SoPMFT, and CEEI in support of student success, student retention, and degree completion. This includes making sure communication is running smoothly cross-departmentally, aligning different groups to proactively manage relationships to achieve overarching organizational goals.
• Collaborate with students to develop a plan of study toward graduation that matches their personal interests and goals with Fuller’s course offerings.
• Learn and maintain a working knowledge of Fuller’s curricula, academic policies, and accreditation standards as they apply to advising responsibilities.
• Provide accurate and consistent information to students.
• Clarify program requirements, policies, deadlines, and procedures to students.
• Assist students in identifying appropriate institutional resources and counsel students on or near academic probation.
• Inform students on institutional scholarship options, adding, dropping, and withdrawing from courses, and Satisfactory Academic Progress.
• Respond to student inquiries promptly (48 business hours) and track all interactions in Fuller’s SRM. Maintain accurate records of students' progress toward degree completion and prepare student files for final graduation clearance.
• Successfully complete the weekly advising tasks.
• Uphold the academic standards of Fuller.
• Other duties as assigned.

II. Program Management Responsibilities
• Manage the PhD, PsyD, and DMFT Programs as it relates to student success, student retention, and degree completion.
• In partnership with the Program Chairs, represent the PhD, PsyD, and DMFT Programs institutionally on programmatic aspects pertaining to student success, student retention, and degree completion.
• Serve as a member of the PhD, PsyD, and DMFT Strategic Program Committees, and the Clinical Psychology Student Assessment Committee as a subject matter expert on student success, retention, and degree completion.
• Work closely with the SoPMFT Doctoral Program Chairs to provide support for accreditation-specific needs related to APA program competencies.
• Participate in the admissions review processes by spearheading the administrative aspects.
• Meet regularly with the SoPMFT Doctoral and DMFT Program Chairs to align on matters pertaining to the curriculum, substitutions, and procedures and address student concerns and proactively provide solutions.
• Collaborate with the Program Chairs to generate annual teaching loads for faculty and annual teaching schedules.
• Use Banner to load classes and other information consistent with the academic schedule and loads. Work with the Registrar’s Office to add, modify, or cancel classes. Collaborate with SMT course schedulers on topics related to SMT-specific courses. Partner with the Director of Administration for SoPMFT to add TAs to courses each quarter.
• Partner with the Director of Clinical Training Office, Office of Student Engagement, and the Director of Administration for SoPMFT to maximize student success, retention, and degree completion. Some of these tasks include the Doctoral Hooding Ceremonies (Director of Administration), APA reporting (Clinical Psychology Program Chairs), field training enrollment (DCT Office), affiliate course assignments in Banner (Director of Administration), and Welcome Week activities (Student Engagement and Director of Administration).
• Attend quarterly Clinical Psychology student cohort meetings.

Qualifications:
• Recipient of, or in the progress of, a Master’s degree in theological education, psychology, higher education, or a related field, and in good academic standing.
• Three to five years of experience in advising and student retention preferred
• Highest level of integrity and confidentiality.
• Strong interpersonal skills, multicultural sensitivity, and good conflict-resolution skills
• Ability to work within a diverse team and communicate effectively with culturally and ethnically diverse populations.
• Excellent oral, written, and critical thinking skills.
• Initiate, prioritize, and complete multiple tasks with accuracy, efficiency, and attention to detail.
• Establish and maintain cooperative relationships with staff, faculty, and students, maintaining a warm and professional manner with a positive employee relations and customer service mindset.
• Good computer skills: including Apple, Microsoft Office, Salesforce, Banner, and Google applications.

• Must be willing to abide by Fuller Community Standards
• This is a hybrid position, primarily working from the Pasadena, CA campus with some availability to work from home

Pay Scale:
• Salary the seminary expects to pay: $70,304 annually USD
