Overview of Job Description Location: Houston, TX or Dallas, TX Classification: Exempt, Regular Full-Time Last Mile Investments (the “Company”) is looking to hire a Commercial Senior Property Manager, who will be responsible for managing a portfolio of assets located throughout the Western territories, in addition to possible markets as the portfolio grows. The Property Manager will remotely within the Dallas or Houston, TX markets. The Property Manager will report directly to the Director of Property Management and be supported by a Property Management Analyst. Last Mile Investments, an affiliate with North American Properties, is a real estate fund management platform that is currently acquiring on behalf of Fund II and raising capital on behalf of Fund III, intending to acquire 15-20 retail assets per year. The Senior Property Manager will be part of a small team reporting to the Director of Property Management, and must have excellent communication skills, the ability to multi-task and prioritize assignments, a high level of attention to detail, and be unafraid to ask questions or seek direction. The Senior Property Manager will also need the organization skills necessary to effectively coordinate between tenants, vendors, and other internal and external parties. Duties and Responsibilities Manage the day-to-day activities of loss prevention, risk management, safety/security, maintenance, marketing, landscaping, snow removal, parking lot sweeping, tenant build-out and other shopping center operations. Complete periodic site visits and complete documented property inspections in the required software. Develop operating income/expense budgets and capital budgets that reflect the owner's objectives for operating the property. Complete monthly variance reporting identifying causes and forecast of variance on property related expenses. Review monthly accruals to support the accounting team and make modifications and provide comments, as necessary. Interface with internal operations team members to assure spaces are in lease ready conditions. Preparation of vacant units ensuring utilities have been turned on, ordering HVAC surveys, and addressing any required maintenance or repairs. Issue Notice of Delivery and Tenant Welcome letters as well as Rent Commencement Notices to all new tenants; save/distribute to required internal stakeholders. Oversee tenant upfits and maintain regular communication regarding tenants anticipated Open for Business dates and communicate such updates to internal stakeholders. Maintain accurate records of current space conditions including roof, HVAC, utilities other items as necessary. Engage, contract, supervise and approve invoices for all goods/services required to maintain the properties up to company and owner standards. Attach necessary backup documentation to all invoices in company’s accounts payable software to obtain property invoice approvals. Manage bill-backs of tenant-related expenses, where applicable. Develop a network of vendors who are available for emergencies and be available 24-hour, 7 day a week as needed. Develop specifications and continually evaluate service needs and performance in all areas of maintenance and management. Regularly approve property invoices and complete travel reimbursement in a timely manner. Forecast and manage replacement of major capital expense items including HVAC system, roof systems, parking lot surfaces, etc. Collaborate with other departments within the company to provide a team approach to the management of real estate. Manage all construction projects, capital improvements and Landlord required related work for properties within Property Manager’s portfolio. Conduct Tenant move-out walk throughs and process all required move-out forms and distribute to internal and external stakeholders promptly thereafter. Audit property related utilities to identify correct general ledger coding and to reduce slippage. Update and maintain accurate data pertaining to Property Snapshots. Cover/support other Property Management staff during their PTO. Attend and be engaged in all required and recurring meetings. Act as a liaison for the company during all legal proceedings. Facilitate and support any required procedures for any property dispositions and/or acquisitions. Regular pursuit of timely rent collections including collection of any bill-backs required by tenant leases. Pursuit of tenant sales and inputting data into Tenant Sales Tracker; consistent engagement with tenants to identify their sales performance as it relates to their specific stores, districts and markets. Be able to reference and understand property related documents such as ALTA surveys, PCA reports, REA agreements, zoning reports, etc. Act as a company liaison for any local governance and work to cure any government deficiency, where applicable. Prepare the properties, where applicable, and facilitate support to tenants and vendors during any natural or socioeconomical disasters. Manage tenant relations and coordinate requests for repairs and maintenance while analyzing lease clauses pertaining to Landlord and Tenant obligations. Enforce tenant lease obligations and compliance by ensuring tenants are submitting their HVAC and grease trap maintenance records and/or other required building systems repairs and maintenance. Coordinate and facilitate support to support Construction Team for capital improvements and Landlord required related work. Keep abreast of new technologies, systems and procedures related to Property Management. Mentor and assist Assistant Property Managers and Property Managers with their daily roles and properties. Qualifications and Requirements 5-7 years of relevant work experience, preferably with emphasis on commercial retail assets. Intermediate proficiency in Microsoft Office Suite and Yardi Voyager, or similar. Demonstrated ability to manage a fast paced, deadline driven environment. Demonstrated ability to multi-task and prioritize assignments while delivering consistent quality work. High level of attention to detail and accuracy. Demonstrate a positive, professional and client-oriented attitude about the company with coworkers, tenants, clients and the public whether contact is by mail, telephone or in person. Demonstrated ability to work with little supervision and seek help when needed. Demonstrated ability to build strong internal and external relationships. Strong analytical and communication skills.
