Our arenaflex (Chat) Caregiver Lead Coordinator is a pivotal bridge between our digital lead‑generation system and the caregivers who deliver life‑changing services. This internal‐only position ensures that high‑quality, pre‑screened leads are accurately captured, promptly routed, and effectively managed—keeping our caregiver pipeline robust, responsive, and ready to meet client demand.

Key Responsibilities

Lead Management: Receive, review, and log chat‑based caregiver leads generated by the arenaflex lead‑capture platform.
Visibility Control: Maintain the job posting’s visibility as “Internal” at all times, preventing external posting on public job boards.
Data Accuracy: Verify lead information for completeness, ensuring that all mandatory fields (contact details, qualifications, availability) are correctly populated.
Communication Hub: Serve as the primary point of contact for internal recruiting teams, conveying lead status updates and any required follow‑up actions.
Documentation: Update the internal applicant tracking system (ATS) with precise timestamps, lead source tags, and assignment notes.
Quality Assurance: Conduct regular audits of lead entries to identify trends, address inconsistencies, and propose process improvements.
Collaboration: Work closely with the arenaflex Talent Acquisition, Operations, and Technology teams to streamline workflow and enhance system integration.
Reporting: Generate weekly and monthly reports summarizing lead volume, conversion rates, and lead‑to‑hiring timelines.
Continuous Improvement: Participate in cross‑functional meetings to refine the chat lead acquisition strategy, suggesting enhancements to user experience and data capture methods.


Essential Qualifications

Education: Minimum high school diploma or GED; associate’s degree or higher in Business Administration, Human Resources, or related field preferred.
Experience: At least 1‑2 years of experience in recruitment coordination, lead management, or a similar administrative role within a fast‑moving service‑industry environment.
Technical Proficiency: Strong working knowledge of ATS platforms (e.g., Greenhouse, Lever, iCIMS) and proficiency with Microsoft Office Suite—especially Excel for data tracking.
Communication Skills: Excellent written and verbal communication, with the ability to convey information clearly to internal stakeholders and maintain a professional tone in all interactions.
