Office of the Vice Provost and Dean of Graduate Studies
Full-TimePrimary Responsibilities:
Provides full administrative support to the Office of the Vice Provost and the Dean of Graduate Studies, including their calendars - scheduling meetings and internal and external events, and travel arrangements
Greets visitors, maintains a friendly and welcoming office environment, answers multiple telephone lines, and serves as a resource for inquiries
Performs computer applications, including word processing, spreadsheet and database, and transcription from a variety of materials
Assist with academic program and curricular changes within the University and their submissions to MDHE and HLC
Provides support for institutional accreditation needs and assessment efforts
Processes budget transactions for Provost, Vice Provost, and Graduate Offices
Schedules appointments and meetings for various committees and councils
Organizes and distributes materials and mailings
Maintains complex, comprehensive filing systems
Handles confidential materials
Organizes, attends, and records minutes for Graduate Council meetings
Coordinates graduate assistantship processes, including annual orientation
Organizes, attends, and records minutes for various committees, including but not limited to: Academic Assessment, AQIP, General Education Council, Information Technology, Center for Strategic and International Studies (CSIS) Experience, Funding for Results, and other initiatives
Provides electronic data and summaries from University database system(s)
Undertakes responsibility for special assignments, projects, and reports as assigned by the Vice Provost and/or Dean of Graduate Studies
Required Qualifications
High school diploma or GED
Demonstrated knowledge of Microsoft Office Word, Excel, and Access
Outstanding administrative support skills
Excellent interpersonal, verbal, and written communication skills
Evidence of the ability to work independently with minimal supervision
Excellent organizational and planning skills
Demonstrated ability to handle multiple tasks with frequent interruptions
Experience in handling sensitive and confidential information
Demonstrated experience and understanding of customer service
