Workwarp is seeking a Scheduling Administrator to join our team remotely and play a critical role in coordinating daily schedules for Field Technicians providing fire protection services to a wide variety of customers. As a Scheduling Administrator, you will be the backbone of our scheduling operations, ensuring seamless coordination and management of daily schedules, emergency service calls, and customer communication. Job Summary The Scheduling Administrator is responsible for direct coordination and management of the daily schedules for Field Technicians. This role requires excellent organizational, communication, and problem-solving skills, as well as experience in scheduling, dispatching, or administration. The ideal candidate will be able to work independently in a remote setting, utilize Field Service Management software, and maintain up-to-date information for technicians. Key Responsibilities: Coordinate and Manage Daily Schedules: Utilize Field Service Management software to schedule and manage daily appointments for Field Technicians, ensuring efficient use of resources and optimal customer service. Field Emergency Service Calls: Respond to emergency service calls, reroute technicians as needed, and communicate effectively with customers and internal stakeholders. Ensure Customer Service Standards: Ensure that customer service standards are met, and customer expectations are exceeded. Maintain Up-to-Date Information: Maintain accurate and up-to-date information for technicians, including schedules, contact information, and job assignments. Assist with Administrative Tasks: Assist with administrative tasks, such as compliance reports, and perform other duties as assigned. Communicate Effectively: Communicate effectively with customers, Field Technicians, and internal stakeholders, both verbally and in writing. Requirements: Essential Qualifications: High School Diploma or GED: A high school diploma or GED is required. Advanced Computer Skills: Advanced computer skills, including proficiency in Microsoft Office and Field Service Management software, are required. Excellent Customer Service Skills: Excellent customer service skills, both verbal and written, are essential. Preferred Qualifications: Administrative Experience: 1-year administrative experience is preferred. Scheduling and/or Dispatching Experience: Scheduling and/or dispatching experience is preferred. Knowledge of Fire Life Safety Industry: Knowledge of the fire life safety industry is preferred. Skills and Competencies: Organizational and Time Management Skills: Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects. Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to work effectively with customers, Field Technicians, and internal stakeholders. Problem-Solving and Analytical Skills: Strong problem-solving and analytical skills, with the ability to analyze data and make informed decisions.
