Core Responsibilities – What Your Day Will Look Like
As a Staff Assistant, you will be the operational backbone that keeps our station teams running like a well‑tuned aircraft. Your daily tasks will include, but are not limited to:

Administrative Coordination: Schedule meetings, prepare agendas, draft correspondence, and manage electronic and physical filing systems.
Data Entry & Invoice Management: Use InvoiceWorks to process, audit, and route invoices for payment; ensure accuracy and timeliness.
Office Technology Support: Troubleshoot phone, copier, and basic IT issues; coordinate with IT vendors for repairs or upgrades.
Onboarding Assistance: Track new‑hire onboarding tasks such as system access, badge issuance, fingerprinting, training enrollment, and equipment provisioning.
Event Planning Support: Help organize station events—including team lunches, celebration gatherings, and recognition ceremonies—by coordinating venues, catering, and invitations.
Financial Administration: Process P‑card transactions, reconcile expense reports in Workbrain, and support monthly close activities.
Record Keeping & Compliance: Maintain employee records, OSHA documentation, safety logs, and ensure all files are current and audit‑ready.
Reporting: Generate and distribute periodic performance, cost, and compliance reports to leadership and stakeholders.
Cross‑Functional Collaboration: Liaise with corporate real‑estate, vendors, and internal departments to advance local projects and initiatives.
