What You'll Do: Key Responsibilities
As a Customer Service Representative at arenaflex, you will provide comprehensive customer service support for our Review Team. Your responsibilities will include, but are not limited to, the following critical activities:
Communication and Correspondence
Responsible for typing, merging, proofing for clarity, printing, and mailing correspondence with meticulous attention to detail
Communicate professionally both verbally and in writing with external customers to furnish and request essential review information
Ensure all letters are sent out in a timely manner with correct components included, thoroughly reviewed for grammatical accuracy, spelling, and spacing errors
Create, format, and proofread various letters and documents to maintain the highest quality standards
Customer Interaction
Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions
Determine how to best assist each caller, either by providing a service offered by arenaflex or by appropriately referring them to an external agency
Properly enter all referrals into the CMS system with accuracy and timeliness
Interact with beneficiaries and providers via the helpline to address their concerns and questions
Maintain composure under potentially stressful situations while providing courteous and patient assistance
Appeals and Documentation
Provide intake for all appeals received by arenaflex
Process and manage complex appeals that require a great deal of decision-making and critical thinking
Obtain and validate notices and all components of medical records as needed
Maintain timeliness in all aspects of your work to ensure optimal service delivery
Team Collaboration and Quality
Foster effective working relationships between arenaflex's internal and external customers
Assist with and participate in the Review Team in identifying areas for potential improvement as noted on case reviews and processes
Utilize internal quality control tools to assess individual work and team processes
Support team decisions and work collaboratively as a valued team member
Proactively identify opportunities to enhance customer satisfaction and operational efficiency
Qualifications: What You'll Need
Education and Training
High school diploma or equivalent required
Post-high school business courses are helpful and preferred
Medical terminology knowledge is strongly desired
Essential Skills and Competencies
Excellent verbal communication skills with a courteous and patient demeanor
Must be customer-oriented with a genuine desire to help others
Ability to maintain composure under potentially stressful situations
Strong grammar, punctuation, spelling, hyphenation, and written communication skills
Customer-focused, results-oriented approach to all tasks
Capability of building and maintaining relationships with internal and external customers
Must be flexible and able to work effectively as a team member
Ability to support team decisions and contribute to a positive team environment
General knowledge of PC-based computer systems
Knowledge of various software packages with the ability to learn additional software packages as needed
Must be able to multi-task and prioritize assignments effectively
Strong organizational skills and the ability to work independently with minimal supervision
Required Experience
Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities
Prior work in a healthcare setting or medical terminology is highly recommended
Previous data entry or other clerical experience is a plus
