We are seeking motivated, detail-oriented, and professional Bilingual Virtual Medical Assistants to join our growing team. This role is fully remote and requires fluency in both English and Spanish to effectively communicate with diverse patient populations.

As part of the SmartClinX team, you’ll work with healthcare providers to deliver seamless administrative and patient support, ensuring practices run smoothly and patients receive the highest level of care.

Job Description

The Remote Bilingual Medical Virtual Assistant will be responsible for providing administrative and patient-facing support to medical practices in the U.S. This role involves managing day-to-day office operations virtually, including scheduling, patient communication, insurance verification, and EHR documentation. The ideal candidate is bilingual, organized, adaptable, and able to work independently while maintaining professionalism in a healthcare setting.

Key Responsibilities & Duties
• Patient Communication: Answer and return phone calls, respond to portal messages, and provide bilingual (English/Spanish) support to patients.
• Scheduling & Calendar Management: Manage patient appointments, confirmations, cancellations, and rescheduling.
• Insurance Support: Conduct insurance verifications, assist with prior authorizations, and follow up on denied claims when needed.
• Billing Assistance: Collect copays and deductibles, process payments, and send receipts.
• EHR Documentation: Upload documents, enter accurate patient data, and maintain updated records.
• Pharmacy Coordination: Call pharmacies for prescription pick-ups, refills, and clarifications.
• Administrative Support: Manage emails, assist with paperwork, and provide other practice support as assigned.
• Confidentiality: Ensure compliance with HIPAA and SmartClinX standards of patient data privacy and confidentiality.
• Team Collaboration: Coordinate with SmartClinX management and healthcare providers to ensure tasks are completed efficiently and accurately.

Qualifications
• Bilingual (English & Spanish) – Required
• Prior experience as a medical assistant, medical receptionist, or healthcare virtual assistant strongly preferred
• Familiarity with EHR/EMR systems (eClinicalWorks, Practice Better, Epic, etc.)
• Knowledge of medical office operations, insurance verification, and patient billing
• Excellent communication and organizational skills
• Strong attention to detail, reliability, and ability to work independently
• Access to a reliable computer, high-speed internet, and a quiet remote workspace
• Must maintain strict confidentiality and adhere to HIPAA guidelines

Position Details
• Job Type: Independent Contractor (Remote)
• Schedule: Flexible, based on client needs (may require U.S. business hours)
• Compensation: Competitive rates, based on contracted service plan and experience

Job Types: Part-time, Contract

Pay: $15.00 - $17.00 per hour

Expected hours: 20 – 25 per week
