The Regional Coordinator provides administrative support for a designated region, ensuring consistent scheduling, communication, and coordination of inspections while assisting experts in their project-related tasks.ResponsibilitiesSupport Lead Regional Coordinator with workload distributionMonitor Job Assignment Tool and assign projects as directedProvide accurate backlog of experts within regionComplete opening of projectsAssist experts in scheduling/logistics for inspections, meetings, and travelAssist experts in providing budgets with proper verbiage per contract (when applicable) and recording/documenting approvals properly. Recording/documenting budget increases properly when approved by clientCoordinate communication between various experts on project teamCoordinate and order outside services as requested by expert (Aerial diagrams, equipment, other contractors including ladder assist, etc.)Guide reports, estimates, and other deliverables through review processAssemble reports, estimates, and other deliverables into final format and obtain signature(s) from expert(s)Transmit final reports, estimates, and other deliverables to clientsMonitor and assist in maintaining compliance on projects including providing written communication confirming calls were made to meet assignment requirementsAssist and respond to inquires on projects including preparation of electronic files to be shared with clientsProvide excellent customer service when problems arise and escalating to Regional Team Lead when neededComplete regular invoicingAssist with maintenance of electronic file including filing emails/communication in project folderMaintain accurate records in internal ERP and scheduling systems (including but not limited to Date of Inspection, Report Promised Date, Report Sent Date, etc.)Maintain accurate records in external programs for specific client requirements (Xactanalysis, AlacNet/Cattrax, Corelogic, Slide/Align, etc.)Knowledgeable in Haag procedures and contractual agreements, where to located that information, and how to use itMonitor Job Assignment Tool and assign projects as directedComplete opening of projects for experts in regionUpdate ERP with project information for experts in regionAssist in scheduling/logistics for inspections, meetings, and travel for experts in regionCoordinate communication between project manager, clients(s), additional experts, property owners, and others as neededComplete invoicing for experts in regionHandle administrative tasks for project assignmentsReview project status with each project managers assigned to themProvide accurate backlog of experts within regionSupport Lead Regional CoordinatorAssist expert in responding to inquiries from Compliance Coordinator and maintaining compliance with projectsMeet with all Administrative Manager, all Lead Regional Coordinators, and all Regional Coordinators to review processes and provide feedbackReview status of projects and compliance issues with Lead Regional Coordinator and Regional Team LeadPrepare and guide reports, estimates, and other deliverables for review, assembly, signatures, and transmittal to clientsOrder outside servicesHandle urgent scheduling or travel needsSkillsHigh school diploma or equivalent requiredEntry level work experienceAbility to communicate orally or in written form effectively with employees and clientsBuilds and maintains positive and cooperative working relationshipsMaintains enthusiasm and a sense of urgency towards workAccepts and adjusts to changes in work priorities willingly and efficientlyStrong grammar and proof-reading skillsDemonstrates strong attention to detailAbility to work number of assigned hoursPossesses strong critical thinking skills and is willing to go above and beyond to get the job doneBasic computer skills including Microsoft Office, Word, Excel, PowerPoint and Adobe AcrobatAssociate's Degree or some collegeBenefitsMedical, dental, and vision insurance401(k) with company matchPaid time off and company holidaysWellness programs and employee assistance resourcesProfessional development supportCompany OverviewSalas O'Brien is a national leading Facilities Planning, Commissioning, Construction Management and Mechanical, Electrical.
