Records Management & Risk Analyst
Farmers Insurance Federal Credit Union is seeking a detail-oriented and proactive Records Retention & Vendor Management Analyst to oversee our enterprise-wide records retention and vendor management programs. This role ensures compliance with legal, regulatory, and internal standards while promoting efficient and secure management of records and third-party relationships. Job Responsibilities Enterprise Records Retention Program • Establish and maintain institution-wide records retention schedules in compliance with federal, state, and industry regulations (SEC, FINRA, FDIC, SOX, GDPR, etc.). • Oversee classification, storage, retrieval, and secure destruction of physical and electronic records. • Partner with IT, Legal, and Compliance teams to ensure retention policies are embedded in systems and workflows.• Leverages technology to enhance recordkeeping efficiency including specialized software and databases. • Monitors and performs regular reviews of records and systems to ensure compliance with internal and external policies and standards. • Ensures integration of records management with other Credit Union systems and monitors the efficiency and effectiveness of electronic records and information management systems Vendor Management Program • Support all vendor related activities throughout all aspects of the vendor management lifecycle from the onboarding stage to offboarding stage.• Evaluate and monitor vendors’ product and services. • Ensure vendor contracts include clear retention, security, and compliance obligations. • Conduct audits and assessments of vendor practices to mitigate risks. Compliance & Risk Oversight • Identify risks related to records retention and recommend mitigation strategies. • Provide regular reporting to senior leadership on compliance status and retention program effectiveness. • Serve as subject matter expert for regulatory inquiries and audits. Training & Awareness • Develop and deliver training programs for employees on vendor management and records retention policies.• Act as a resource for departments to ensure consistent application of record retention and vendor management program. • Manages compliance audits, reports discrepancies to people leaders and participates in developing action plans to address audit findings Qualifications • Bachelor’s degree in business administration, or equivalent experience, Information Management, Compliance,, Risk Management or related field. • 3+ years of experience in records management, compliance, or vendor oversight within financial services.• Strong knowledge of regulatory requirements governing financial records retention. • Experience with enterprise records management systems and vendor management platforms. • Excellent analytical, communication, and organizational skills.
