We are currently seeking to recruit an Office Administrator / Receptionist to join our team in Dublin. This is a fixed term opportunity of approximately 12 months and will be on part-time basis of 4 days per week. The duties of the Office Administrator / Receptionist include: Meeting and greeting clients, including the preparation of meetings rooms and catering requirements. Efficient handling of the switchboard and general enquiries email box. Facilities support including: liaising with various external service vendors and internal IT, Ordering office stationery and associated items Administrative support including: Daily sorting of received post and sending of outgoing post including the upload to CCH as appropriate, arranging couriers, scanning of confidential documents, filing, and sealing documents. Offsite tasks such as the lodging of cheques, hand delivery of solicitor or Company Registration Office (CRO) documents, Preparation of customer correspondence including the drafting or transcribing of letters, presentations, CRO filings, CCH documents, search4less requests. Arranging interviews, meetings and the updating of diaries. Tracking of cash or cheque reports, and confirmation.com purchase on excel. Event and travel support including the booking of travel and accommodation, hotels for conferences and training days. Preparation and organizing of office and social events in conjunction with the management team, or social committee. The above list is not intended to be exhaustive and other ad hoc duties may be required depending on the needs of the Moore team. Demonstrable Experience and Qualifications Required: ‒ Two years in a receptionist or administrative role, ideally within a professional services environment. ‒ Competence in Microsoft Office Suite (Word, Excel, Outlook and Powerpoint). ‒ Familiarity with office management software and CRM systems. ‒ Excellent verbal and written communication skills. ‒ Problem solving abilities. ‒ Working with multiple stakeholders and deliverables.
