Position Summary

Responsible for the coordination and monitoring of Real Estate activities, and the administration of Facilities Management activities and services.

WORK LOCATION AND TRAVEL
• Role provides the opportunity to work in hybrid environment, working both virtually and in office when required.
• Ability to travel as needed up to 10%.

Duties & Responsibilities
• Develop and maintain internal and external customer relations to enhance department image and capabilities to procure best value and service.
• Negotiates Real Estate transactions for registered offices and small value locations.
• Support global facilities department with local, regional, or international duties in all processes and ensures proper execution by following departmental standards.
• Review and audit contractor invoices, billings, and other documents to confirm compliance and completeness with respect to service contracts and approved unit pricing.
• Responsible for issuing purchase orders, cost coding, expense/change order tracking, and forecasting of project costs in relation to contractors, internal customers, and departmental budgets.
• Onsite support as needed to ensure progress in alignment with schedule and management of third-party vendors as well as internal customers.
• Collect and document meeting information for dissemination to meeting attendees and affected parties.
• Creating and maintaining files on all projects as well as confirming complete documents prior to final close out of projects
• Handles troubleshooting and diagnostic of issues in Real Estate programs.
• Travel as needed up to 10% domestically.
• Real Estate Transaction Coordination/Administration -
• Conduct transaction & contract reviews.
• Monitor financial accounts, ensuring sub-lease payments, taxes, insurance coverage.
• Facilitate communication between all parties.
• Create property asset document/packets.
• Coordinate site inspections & walk-throughs.
• Develop addendums.
• Monitor real estate management software for deadlines.
• Liaison with contracted real estate professionals and assist in lease administration activities including lease set up, administer lease changes, generate reports, etc.
• Prepare and coordinate bid proposals and service contracts and approved invoices.
• Maintain lease and property files.
• Assist with monthly and quarterly management reports as well as annual budget preparation.
• Facility Management Document Administration – Receive, present for review, file, monitor and process time-sensitive documents and documents tied to life safety and health (I.E., permits, licenses, inspections, system tests, water quality reports, Quarterly Business Reviews, etc.).
• Technical Library Administration – Maintain hard and/or electronic copies of all campus drawings, prints, layouts, etc. ensuring that as updates are necessary, they are properly documented, tracked, reviewed, approved, and disseminated in a timely fashion.

Qualifications

REQUIRED
• Minimum three (3) years of lease administration experience handling 100% of client portfolios for the tenant side, processing rents for payment, reviewing and interpreting lease documents, generating, and providing reporting, and CAM/OPEX reviews.
• Advanced skills of Microsoft Office Suite (Word, Excel, PowerPoint, Visio)
• Able to work independently.
• Organization and Multitasking – able to plan, prioritize, organize, and monitor multiple activities and services.

DESIRED
• Bachelor’s Degree from an accredited four-year college or university, or equivalent education and experience.
• Experience in accounting/accounts payable and understanding in forecasting costs.
• Experience in cost estimating and scheduling.

Additional Information

This position is Hybrid - Remote and will require commuting to a designated office. Hybrid work schedules are determined by the hiring manager based on business need.
