Project Coordinator - Telemedicine & Mental Health

Job Overview We are seeking a dedicated Project Coordinator to oversee telemedicine and mental health initiatives within our organization. The Project Coordinator oversees the planning, execution, and delivery of projects that support mental health services and telemedicine operations. This role ensures that clinical, technical, sales, and operational initiatives are completed on time, within scope, and aligned with regulatory and quality standards. The Project Manager collaborates closely with clinical leaders, operations, sales, IT, compliance, and vendors to drive efficient workflows, launch new programs, and support continuous improvement across the organization. Duties Project Planning & Execution • Lead end-to-end project lifecycle: scope, requirements, timelines, tasks, risks, dependencies, and reporting. • Develop project roadmaps and implementation plans for telehealth platforms, EHR enhancements, clinical workflows, and new service lines. • Coordinate cross-functional teams including clinicians, operations, IT, compliance, sales, and client/patient support. • Monitor project performance, track KPIs, and adjust plans as needed to ensure on-time delivery. Operations & Clinical Workflow Support • Assist with Improving operational efficiency by mapping and optimizing clinical workflows for teletherapy, telemedicine, and virtual care teams. • Implement process changes. • Partner with clinical and compliance teams to ensure documentation compliance, safety protocols, and patient privacy requirements. Technology & Platform Management • Assist with new platform rollouts, updates, integrations, and vendor implementations (e.g., EHR, telehealth software, etc). Compliance & Quality Assurance • Ensure project deliverables satisfy healthcare, telemedicine, HIPAA, and state regulatory requirements. • Standardize processes and SOPs to maintain clinical quality and operational consistency across sites and providers. • Support audits, documentation reviews, and internal quality improvement initiatives. Communication & Stakeholder Management • Facilitate meetings, prepare agendas, present project updates, and develop dashboards for leadership review. • Support change-management efforts including training, documentation, and rollout communications. Qualifications Required • Bachelor’s degree in business, Healthcare Administration, Psychology, or related field. • 3+ years of project management or operations experience (mental health or telemedicine preferred). • Experience leading cross-functional projects with multiple stakeholders. • Strong understanding of clinical or telehealth workflows and healthcare operations. • Familiarity with HIPAA, PHI, and telemedicine regulatory requirements. • Excellent communication, organization, and problem-solving skills. • Proficiency with project management tools (Trello, Monday, etc.). • Write clearly, concisely, logically, and legibly. • Maintain a professional demeanor at all times. • Be dedicated to the vision and the goals of the company. Preferred • Experience with EHR/EMR systems, telemedicine platforms, or digital health products. • Experience working with behavioral health or mental health service providers. • Data analysis or reporting experience.
