At arenaflex, we are dedicated to delivering top‑tier dermatology services that blend clinical excellence with compassionate patient experiences. Based in the vibrant city of Tampa, Florida, our clinic leverages cutting‑edge technology, a collaborative team culture, and an unwavering commitment to accuracy in every facet of patient care. As we continue to expand our services, we recognize that the backbone of our operations lies in meticulous data management. That’s why we’re seeking a detail‑oriented, motivated Part‑Time Data Entry Specialist to join our growing team.

Why This Role Matters

Every piece of information you enter contributes directly to the quality of patient outcomes, billing efficiency, and compliance with healthcare regulations. In this pivotal role, you’ll transform raw data—whether from paper charts, scanned documents, or electronic sources—into organized, searchable records that clinicians rely on daily. Your work will enable doctors, nurses, and administrative staff to focus on what they do best: providing exceptional care.

Key Responsibilities
• Accurately transfer patient information from paper forms, faxed documents, and electronic files into the arenaflex electronic medical records (EMR) system.
• Verify the completeness and correctness of entered data, performing quality‑control checks to identify and correct errors.
• Maintain confidentiality and security of all patient data in compliance with HIPAA and state regulations.
• Index and categorize documents for easy retrieval, ensuring that all records are properly labeled and stored.
• Collaborate with the Medical Records Director and other team members to prioritize high‑volume data entry tasks and meet daily targets.
• Assist in generating routine reports from the EMR system for administrative and clinical review.
• Participate in periodic audits of the database, supporting continuous improvement initiatives.
• Adapt to new software tools and processes introduced by arenaflex, providing feedback to enhance workflow efficiency.
• Perform additional duties as requested by the Director, including minor clerical support and data verification tasks.

Essential Qualifications
• Minimum of 1 year of hands‑on experience in data entry, preferably within a healthcare or medical‑records environment.
• Proficiency with Microsoft Word, Excel, and basic familiarity with EMR platforms (e.g., Epic, Athena, or similar).
• Exceptional attention to detail; ability to spot inconsistencies and rectify them swiftly.
• Strong organizational skills with the capacity to manage multiple data streams simultaneously.
• High level of written and verbal communication skills; comfortable interacting with clinical staff and patients when needed.
• Demonstrated commitment to maintaining confidentiality of sensitive information.
• Reliable high‑speed internet connection and a quiet, distraction‑free workspace for remote portions of the role (if applicable).
• Flexibility to work part‑time hours, including occasional evenings or weekends to meet urgent data‑entry needs.

Preferred Qualifications & Additional Assets
• Experience with data‑validation tools or OCR (Optical Character Recognition) software.
• Background in medical terminology, coding (ICD‑10, CPT), or health‑information management.
• Previous exposure to regulatory compliance processes such as HIPAA, OSHA, or state health‑department guidelines.
• Certificate or coursework in Health Information Management, Medical Administration, or a related field.
• Proven ability to meet productivity benchmarks while maintaining 99%+ accuracy rates.

Core Skills & Competencies for Success
• Accuracy & Precision: Ability to enter data with minimal errors and double‑check entries for consistency.
• Time Management: Efficiently prioritize tasks to meet daily and weekly data‑entry quotas.
• Technical Savvy: Comfortable navigating different software applications, learning new systems quickly.
• Problem‑Solving: Identify data gaps, propose solutions, and follow up until resolution.
• Team Collaboration: Communicate proactively with clinicians, billing staff, and management.
• Adaptability: Thrive in a fast‑moving environment where priorities may shift rapidly.
• Professionalism: Uphold the highest standards of confidentiality and ethical conduct.
