Join our dynamic healthcare team as a Part-Time Remote Bilingual Scheduler! Duties
• Serve as the welcoming and knowledgeable first point of contact for all clients, families, and providers.
• Answer incoming calls during business hours with a minimum 90% live answer rate.
• Return voicemails within the same business day and respond to emails within one business day.
• Provide clear and accurate information about services, processes, and scheduling.
• Send appointment confirmations, instructions, parking details, and any necessary forms.
• Schedule patient appointments accurately using EMR (Simple Practice)
• Confirm insurance details, verify coverage, and perform insurance verification to facilitate seamless billing processes
• Maintain organized medical records by filing electronic and paper documents while adhering to HIPAA regulations for patient privacy and confidentiality
• Assist with intake procedures for new patients, including data entry and updating electronic health records (EHR systems)
• Support clinic staff with administrative tasks such as appointment reminders, follow-up scheduling, and managing multi-line phone systems
• Ensure accurate and consistent use of the referral tracker, waitlist tabs, and administrative notes.

Qualifications
• Proven experience (minimum 2 years) in medical scheduling, medical office management, or healthcare administrative support
• Bilingual proficiency in English and Spanish; strong communication skills in both languages are essential
• Comfortable learning new systems (experience with Simple Practice a plus).
• Strong organizational skills, attention to detail, and ability to manage multiple tasks.
• Professional phone manner and excellent written/verbal communication skills.
• Reliable internet connection and quiet workspace for client calls.
• Familiarity with EMR systems, ideally Simple Practice
• Knowledge of medical terminology, ICD-10 coding, CPT coding, and Medicaid guidelines
• Experience with insurance verification processes and understanding of HIPAA compliance standards
• Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel), typing speed (10 key typing preferred), and familiarity with health information management software
• Excellent organizational skills with attention to detail; ability to review documentation thoroughly and accurately
• Ability to work independently remotely while maintaining professionalism and excellent customer service standards
