The Operations & Resource Coordinator role is essential for ensuring efficient resource allocation and operational coordination to support client delivery and project demands.ResponsibilitiesSupport daily resourcing needs across teams in concert with delivery team membersBalance contractor and full-time resources to support teams in meeting project demands and budget constraintsOptimize resource utilisation by identifying and resolving conflicts, bottlenecks or imbalances in resource allocationCoordinate with direct counterpart in other region when cross-portfolio resourcing is requiredMonitor resourcing patterns and work with Director of Workforce Operations to support cases for hiring or long-term contractor placement as neededOwn all administrative components of onboarding new contractorsReview and approve timesheets submitted by employment agency contractorsReview and approve submitted invoicesPrepare budget reportsUser management in our project management system, KantataKantata client setup and managementManagement of user data in Kantata (including updated cost rates, etc. when applicable)Ensuring client portfolio assignments are up to dateWeekly time audit and follow up for completionMiscellaneous Kantata reporting in support of Workforce OperationsSkills1-3 years of experience in workforce operations, vendor management, or resourcing within a professional services, marketing, or agency environmentExperience working with contractor networksOperationally minded and able to turn messy processes or unclear policies into simple, workable systems people will actually followClear, confident communicator who can connect delivery teams, leadership, and external partners without things getting lost in translationHighly organized and proactive, staying on top of details while anticipating issues before they become problemsCalm and solution-focused under pressure, able to untangle resourcing conflicts or operational snags without creating frictionComfortable jumping between priorities and functions, thriving in a role where no two days look the samePrior exposure to project management systems such as Kantata, Smartsheet, Intacct, or WorkdayBenefitsMedical, dental, and vision insurance: Health is a priority worth investing in.Pre-tax flexible spending account (FSA) - healthcare, dependent care, and transit available: We are committed to saving you money as we provide high-quality healthcare that is as flexible and diverse as our team4% 401(k) contribution with no vesting period: We are invested in our employees' careers.Plentiful paid time off: Each employee has the freedom to choose how long they want to be away from work.Sick leave (15 days annually): Illnesses are taken seriously at The Marketing Practice.Holiday shutdown (December 26th - 29th): As the whole company shuts down for a few days, you can celebrate the holidays with loved onesParental leave:Primary caregiver: 12 weeks full pay and then 12 weeks 50% paySecondary caregiver: 12 weeks full payAccess to Unmind: Our well-being platform, including access to therapists and coachesEmployer-funded life, AD&D & disability insurance: The Marketing Practice offers all employees life and AD&D insuranceCompany getaways: Whether it is a local office holiday party or a full-blown international trip, we believe in bonding through quality time spent together as a teamCompany OverviewMarkets are in chaos.
