Job Summary:

The Operations Business Coordinator focuses on financial operations ensuring all financial activities align with strategic priorities and business goals. This is a pivotal role responsible for vendor management, budget tracking, monitoring expenses, processing invoices and ensuring accuracy of payments with on-time delivery for the Marketing Communications group.

Description:
Ā• Vendor & Stakeholder Management: Collaborate with leads and stakeholders on production budgets, execution, and maintenance. Maintain strong relationships with vendors, ensuring timely invoicing, payment processing, and resolution of issues.
Ā• Invoice Processing & Financial Reconciliation: Ingest estimates, invoices, and accruals. Check for accuracy and submit for approvals. Develop, review, and approve purchase requisitions and invoices from vendors. Address discrepancies related to payments, invoices, or purchase orders.
Ā• Accruals: Work with various departments to manage accruals, and contribute to financial performance measures.
Ā• Data Management: Ensure that all financial data is accurate, up-to-date, and readily accessible for analysis and reporting. Provide documentation and support to Operations Business Manager and senior stakeholders as needed.
Ā• Process and Tools: Participate in the building and implementation of new systems and process improvements to deliver efficiency and standardization.
Ā• Communication and collaboration: Work with cross functional teams to build and improve on the creation and review process for production budgets.

Key Qualifications:
Ā• 5-7 years of experience in managing budgets and financial operations, preferably in creative organizations or financial operations roles.
Ā• BA/BS in Finance, Accounting, Business, or a related field.
Ā• Proficiency in financial software systems and advanced Excel skills, including pivot tables and complex formulas.
Ā• Experience in finance data tracking and analysis for marketing communication groups.
Ā• Strong stakeholder management skills, with experience working with senior leadership.
Ā• Excellent communication, teamwork, and problem-solving skills.
Ā• Ability to manage multiple projects simultaneously and work effectively in a fast-paced, highly matrixed environment.
Ā• Familiarity with Mac/Apple systems and tools; experience with Airtable or similar project management tools is a plus
Ā• Knowledge of general accounting principles and systems.

Preferred Skills:
Ā• Experience in the media industry.
Ā• Ability to work independently and take initiative in solving complex problems.
