Needing long-term virtual assistant, 20 hrs per month, for solo business owner

Hello, my name is Fiona, and I am a Human Design reader. Human Design is kind of a mash-up between astrology and Myers–Briggs. You do not need experience with Human Design for this role.

My current core belief in my business is that I am here to support others by helping them understand and integrate their life’s purpose through Human Design. That’s what all of my content and offers are based around.

I am looking for a long-term virtual assistant. I’d like to take the first two months as a trial to see if we work well together.

It’s not an automatic disqualification if you don’t know all of this software. I am open to working with and training beginners, but you must know at least five of them. There will also be more niche tools, but I will show you how to use those.

I have a busy personal life. I am a wife, a mother of three (including one baby), and a business owner. Your goal will be to take as many tasks off my plate as possible. I use a lot of automation—hence the amount of software—but I will need you to do the things software can’t.

Here are the tasks you will be doing:

• Scheduling blog posts and newsletters

• Making graphics using a template in Canva

• Answering customer support emails

• Checking in with me twice per week

Other tasks will come up as needed, and I will ask you to help. If something has a larger scope, I also have an as-needed assistant I can bring in.

A little about me: I’m 35, and I write my own content and emails—not AI. I prioritize slow, careful work over rushing through tasks. I don’t like live calls and will likely send you a video instead. I have two pre-teen kids and a baby, so I’m often tired and need someone who can keep me on task and make suggestions when needed. I play video games (mostly Overwatch) and read daily. My favorite genres for movies and shows are comedy-horror, horror, thrillers, and dry humor.

My ideal assistant can do most of the tasks listed, has at least 20 hours per month to devote to helping me, and can communicate with me within one business day via email. This assistant lives ahead of my time zone. I’m in Eastern Time, but when I expect work done on a specific day, I want it completed by 4 p.m. your time, not mine. That way, I can ensure it’s done without waiting on you.

Finally, here’s how I shortlist:

• You submit an application through Upwork only. I am serious about this. If you contact me any other way, your message will be deleted immediately—no exceptions.

• Address me by name, not “sir/ma’am” or “to whom it may concern.”

• Make an effort to address my listing instead of sending a copy-and-paste cover letter.

• I use ChatGPT daily and know the signs of an AI-generated application. Adjust it to fit my listing and edit it so it’s not obvious.

• Stick to my budget. It’s firm.

Last time I hired, only one person out of thirty wrote me an actual cover letter instead of copy-pasting with AI. That application was the clear winner, despite others having more experience or skills.
