Position Overview:
Trophy Point Investment Group is seeking a highly organized and detail-oriented Loan Servicing Executive Administrative Assistant to provide direct support to the companyβs three department heads. This role is essential in coordinating schedules, managing communications, and executing high-priority administrative tasks across the departments of Operations, Finance, Marketing, Technology, and Investor Relations. The ideal candidate is proactive, resourceful, and capable of juggling multiple tasks in a remote, fast-paced environment.
Key Responsibilities:
Administrative & Calendar Support
β’ Manage and coordinate the calendars of the three department heads, scheduling meetings, appointments, and strategic check-ins.
β’ Monitor and prioritize inboxes, manage correspondence, and assist in drafting professional communications.
β’ Organize recurring meetings, document agendas, and follow up on action items.
β’ Arrange travel, accommodations, and other logistics as needed.
Operations & Coordination
β’ Serve as the centralized point of administrative contact for all three department heads.
β’ Maintain shared access to important files and manage tools such as password managers securely.
β’ Track key dates, deliverables, and department-wide deadlines to ensure alignment across areas.
β’ Support vendor communication and ensure invoices or reimbursements are routed correctly.
Project & Reporting Support
β’ Assist with department-specific research, report formatting, and document preparation.
β’ Coordinate internal communication, performance review scheduling, and strategic project timelines.
β’ Ensure records, SOPs, and relevant updates are kept current for all supported departments.
Qualifications:
β’ Experience: Minimum 5 years in an administrative support role, preferably supporting multiple senior leaders.
β’ Technical Proficiency: Comfortable using Google Workspace, Slack, Zoom, ClickUp, HubSpot (preferred), Deel, and file-sharing platforms.
β’ Communication: Strong written and verbal communication skills with professional tone and clarity.
β’ Confidentiality: Demonstrated ability to handle confidential or sensitive information discreetly.
β’ Organization: Excellent multitasking and time management skills.
β’ Initiative: Able to anticipate needs, work independently, and follow up consistently.
β’ Location: Must be located in the U.S. and authorized to work.
