Legal Administrative Assistant

This role involves providing a broad range of administrative, secretarial, and document processing support while ensuring superior client service in a collaborative work environment.ResponsibilitiesRegularly utilizes Task Delegation and Workflow Management software (BigHand) to receive, enter and update assignments; timely communicates with supervisor(s) through BigHand and/or directly the status of task completion and new developments that may impact the assignment and proactively seeks additional information or guidance when neededAssists with word processing; edits and proofreads correspondence, memorandums, reports, and other general communicationsDrafts routine correspondence and memoranda; updates recurring reports as assignedPerforms redliningDemonstrates a high level of internal and external client service; screens communication and responds promptly in a clear, concise, professional, and accurate mannerResponds to client, staff, legal professionals, and vendor inquiriesAnswers phones and takes messages, schedules appointments and coordinates meetings; arranges audio and video conferences; reserves conference rooms and arranges set-upsMaintains attorney calendar and advises attorney of appointments, updates attorney address book and InterAction entriesAssists with time entryAssists with the billing process including proforma delivery, narrative edits, and customized reportsProcesses new business intake, related forms, and correspondenceProcesses expense reports and invoices; arranges check requests; monitors through completionArranges travel and prepares itineraries; maintains attorney travel and desk profilesCoordinates or assists with printing, scanning, copying of documents and/or sending of sameMaintains electronic and/or physical files, calendars, correspondence, and collaborative workspaces; creates and maintains bindersMaintains case docket/calendaring, as neededTranscribes text (e.g., correspondence, and miscellaneous legal documents) from handwritten drafts, voice messages or recordingsOpens, screens and routes mail, and manages faxes and emailProvides legal research, case support and project assistanceOther administrative duties as assignedSkillsBachelor's degree and one (1) year of internship or professional experience preferredDemonstrates proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Portable Document Format (PDF) softwareStrong organizational skills, attention to detail, the ability to balance multiple tasks in a fast-paced environment, and the ability to manage confidential information with discretionExcellent written/verbal communication skills, strong interpersonal skills, and the ability to work independently with guidance as part of a teamFlexibility to work overtime requiredProfessional services industry experience a plusBenefitsA full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave)Company OverviewFrom our offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, we work with clients ranging from established, global Fortune 100 companies to enterprising startups.
