IT Consultant Needed: Optimize QB Enterprise Setup -On-Premise or Cost-Effective Remote Access
We are a collision repair center in Chicago looking for an experienced IT consultant to review and improve our current setup for QuickBooks Enterprise (Desktop) and its integration with CCC ONE (our primary estimating/repair management software).
Current Situation:
Our bookkeepers (offsite admins) access QuickBooks Enterprise/CCC via a hosted offsite server.
QuickBooks Enterprise needs to stay connected/integrated with CCC ONE for seamless data flow (e.g., invoices, estimates, financial syncing), but we cannot switch to a fully cloud-based QuickBooks solution (must remain Desktop/Enterprise for compatibility reasons).
Goal: Reduce or eliminate the high monthly hosting fee while maintaining secure, reliable remote access for offsite bookkeepers.
What We Need Help With:
Evaluate our current setup and recommend the most cost-effective, reliable solution. Options could include:
Setting up an in-house/on-premise server (e.g., a dedicated Windows server at our location) for QuickBooks Enterprise in multi-user mode.
Implementing secure remote access (e.g., via Remote Desktop Protocol/RDP, VPN + Remote Desktop, or tools like Splashtop/TeamViewer) so offsite bookkeepers can connect without a third-party hosted server.
Exploring any third-party tools or integrations that allow better syncing between CCC ONE and QuickBooks without expensive hosting.
Ensuring the solution supports multi-user access, data security, backups, and performance for remote users.
Help with implementation: Server setup/configuration, QuickBooks multi-user hosting mode, remote access security (strong passwords, firewalls, etc.), testing the CCC ONE integration, and training our team.
Ongoing support: Preference for someone local (Chicago area) who can provide hands-on help if issues arise later (e.g., on-site visits for troubleshooting).
Ideal Consultant Qualifications:
Proven experience with QuickBooks Enterprise Desktop (multi-user mode, remote access, integrations).
Knowledge of CCC ONE or similar collision repair software (a big plus, but not required).
Expertise in Windows Server setup, networking, VPN/RDP/remote desktop solutions, and secure remote access best practices.
Familiarity with cost optimization for accounting software in small/medium businesses (e.g., auto shops).
Strong communication skills – we need clear explanations and recommendations.
Preferably local to Illinois (Chicago area) for potential on-site work, but open to remote consultants if highly experienced.
Project Scope & Timeline:
Initial consultation/review of our setup (remote or in-person).
Detailed recommendations/report with pros/cons and cost estimates.
Implementation (phased if needed).
Testing and handover.
