We're on the lookout for a highly skilled and versatile Hybrid Executive Assistant/Office Manager to support our CEO and Head of Operations, playing a crucial role in the smooth operation of our office and the success of our leadership team.

About the Role

As our ideal candidate, you will be the backbone of our executive team's day-to-day operations, ensuring seamless execution of their responsibilities while maintaining the highest level of discretion and professionalism.

Key Responsibilities


Email Management and Communication: Vet and prioritize emails for the executives, drafting responses as necessary to ensure timely and effective communication.
Stakeholder Relationship Management: Foster and maintain strong relationships with key internal and external stakeholders, acting as a liaison between them and our executives.
Meeting and Event Coordination: Plan, execute, and follow up on internal and external meetings and events, ensuring they run smoothly and according to plan.
Document Preparation and Editing: Prepare and edit correspondence, reports, and presentations with a high level of accuracy and professionalism.
Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion, maintaining confidentiality at all times.
Phone Call Management: Screen incoming calls, delivering detailed and timely messages to the appropriate parties.
Calendar Management: Proactively manage the daily calendar of our executives, identifying and mitigating potential conflicts to ensure their schedules run smoothly.
Travel Arrangements: Coordinate complex travel arrangements, including flights, cars, hotels, and managing private aviation to minimize travel disruptions.
Expense Reports and HR Support: Process expense reports and assist with HR tasks such as sending offer letters and onboarding new employees.
Office Management: Oversee the day-to-day operations of the office, including ordering supplies and managing repair issues.
Ad Hoc Projects: Take on various ad hoc projects as needed, demonstrating flexibility and a proactive approach.
Limited Off-Hour Availability: Be available for limited off-hour contact via text, ensuring support outside regular working hours when necessary.


Essential Qualifications


A minimum of 5 years of experience in a related support position, preferably in a tech or fast-paced environment.
A Bachelor's degree from a reputable college or university.
Excellent Microsoft Office skills, with proficiency in Word, Excel, PowerPoint, and Outlook.
A dynamic and proactive individual who is comfortable working in a fast-paced, rapidly evolving environment.


Preferred Qualifications


Experience in the software development or tech industry, with an understanding of the nuances and challenges of the sector.
Previous experience supporting high-level executives or managing office operations in a growing company.
Familiarity with AI technology or a willingness to learn about it.

Compensation, Perks, and Benefits
