Role Description

This is an exceptional opportunity for a detail-oriented administrative professional to join a successful real estate operation where your organizational skills and technical expertise will directly contribute to business growth. You’ll be working remotely with a high degree of autonomy, managing diverse responsibilities across real estate brokerage, property management, and notary services. This role offers the unique opportunity to learn multiple aspects of the real estate industry while supporting a proven business model. Starting part-time with strong potential for full-time growth, you’ll be instrumental in streamlining operations and enhancing client experiences across all service lines.
• Coordinate property showings by calling listing agents and scheduling appointments for buyers and the broker
• Manage appointment logistics including obtaining access codes and creating detailed calendar invites with property information
• Execute strategic “toggling” of listings by updating primary photos and rearranging property descriptions twice daily to maximize search engine visibility
• Process price reductions and listing modifications in real estate management systems
• Create and manage contracts for rent increases across a 180-property portfolio
• Prepare management agreements for new property acquisitions and onboarding
• Generate lease agreements and handle property management documentation
• Update and refresh vacancy listings to maintain market competitiveness
• Schedule notary service appointments and coordinate client meetings
• Handle professional email correspondence and general administrative tasks

Qualifications
• Excellent written communication skills with proper grammar, punctuation, and professional email etiquette
• Strong understanding of email protocols including CC, BCC, and appropriate response procedures
• Experience with real estate or property management systems strongly preferred
• Proficiency in Microsoft Word and PDF editing software (Adobe preferred)
• Ability to work independently with minimal supervision while managing multiple priorities
• Strong organizational skills and exceptional attention to detail
• Reliable high-speed internet connection for remote work
• English proficiency required for all business communications
• Demonstrated ability to learn new software systems quickly and efficiently
