We're seeking a Healthcare Executive Assistant to provide comprehensive administrative support to our senior leadership, managing complex international communications, travel arrangements, and administrative operations. This role is crucial in maintaining smooth business operations across multiple time zones and ensuring efficient coordination between our global offices and healthcare partners.The Impact you'll makeAdministrative Management
Handle all incoming communications via email and phone
Manage the VoIP phone system
Complete and submit various application forms and organizational memberships
Process and reconcile credit card transactions
Meeting & Calendar Coordination
Schedule and coordinate meetings across multiple time zones
Prepare and distribute meeting agendas
Manage executive calendar and appointments
Travel Logistics
Arrange international travel, particularly for Dubai operations
Book flights according to specific airline preferences and schedules
Coordinate with international vendors for various services
Document & Vendor Management
Maintain organized documentation systems
Coordinate with vendors for printing and graphics
Manage international deliveries and shipping
Skills, Knowledge and ExpertiseRequired:
Minimum 2 years of experience as an executive assistant
Previous experience working with US or Canadian clients
Proven track record in managing international travel logistics
Proficiency in Microsoft Teams and Excel
Experience with VoIP systems
WFH Set-Up:
Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor, and up.
Internet speed of at least 40 Mbps
Headset with an extended mic that has noise cancellation and a webcam
Back-up computer and internet connection
Quiet, dedicated workspace at home
