Go Learn Program Coordinator
University of Utah is seeking a Go Learn Program Coordinator to support the planning, execution, and evaluation of faculty-led educational travel programs. The Coordinator will provide administrative, logistical, and customer service support to ensure smooth program operations and enhance participant experiences.ResponsibilitiesAssist with the development and scheduling of trip itineraries in collaboration with the Director and Program ManagerCoordinate logistics with hotels, airlines, museums, restaurants, transportation providers, and other vendorsArrange insurance, waivers, agreements, and collect required travel documentation from participantsPrepare participant materials, pre-departure packets, and post-trip surveysProvide on-location support for Go Learn trips as needed, including domestic and international travelServe as a primary point of contact for travelers, responding to inquiries via phone and email with professionalism and careCommunicate regularly with participants through updates, reminders, and touchpoint emailsSupport faculty trip leaders with travel logistics, documentation, and expense processesManage participant data in the registration system and maintain accurate recordsCreate and submit requests, expenses, and reimbursements in Concur on behalf of faculty as directedMake department purchases and manage PCard reallocations and monthly reconciliationCoordinate payments, payment plans, and collection of required forms and signatures via DocuSignParticipate in regular team meetings and contribute to discussions around process improvements and traveler experienceCollaborate with colleagues across University Connected Learning to support shared goals and coverageAssist with special projects and other duties as assignedSkillsBachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experienceDemonstrated ability to work independently, analyze and make decisions related to program contentStrong coordination and organizational skills required to prioritize conflicting deadlinesDemonstrated human relations and effective communication skills are also requiredApplicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position descriptionStrong organizational and communication skillsExperience in customer serviceFamiliarity with adult education or community programmingAbility to work independently and manage multiple prioritiesAvailability for evening and weekend workCompany OverviewThe University of Utah, located in Salt Lake City in the foothills of the Wasatch Mountains, is the flagship institution of higher learning in Utah.
