As a Production Assistant at arenaflex, you will be at the heart of this process, coordinating assets, maintaining workflows, and supporting the creative talent that makes our projects possible.

What You'll Do

As a Production Assistant in our pre-production department, you will serve as a vital link between our creative teams and production facilities. Your daily responsibilities will encompass a wide range of tasks designed to keep our productions running smoothly and efficiently.

Asset Management & Organization


Collect and organize all artwork assets, including character models, props, and set designs, for shipments to production facilities
Label, categorize, and create comprehensive final model packs for efficient cargo and asset transfer
Maintain organized asset documents and upload models to our production management systems
Ensure all artwork files adhere to standardized formats, including strict naming conventions
Prepare and organize documents for background painters and color designers
Assist in the archival of artwork and production materials once a project is complete


Production Support


Support artists and production team members throughout pre-production and production phases
Create and maintain design lists and tracking documents as needed
Pull "same as" paintings and provide reference materials to artists as requested
Obtain Director's approval on artwork through effective communication and follow-up
Provide any necessary materials, references, and resources to support artists
Update and maintain production art forums and tracking systems


Quality & Communication


Perform quality control checks for line quality in digital artwork
Communicate any production delays or issues to the production manager or supervisor immediately
Take detailed notes at assigned meetings, conference calls (including Zoom), vendor meetings, and animation launches
Coordinate with line producers, associate producers, and production managers to ensure seamless operations
Act as a reliable point of contact for internal and external team members


Process Improvement


Make recommendations for streamlining and improving production pipelines
Suggest opportunities for asset re-use and workflow efficiencies
Flag complexity issues and potential bottlenecks in the production process
Assist in preparing materials for awards submissions
Contribute to team morale by supporting morale events and team-building activities as directed

Essential Qualifications


Proven ability to oversee multiple tasks simultaneously and resolve problems effectively in a fast-paced environment
Strong organizational skills with exceptional attention to detail and accuracy
Excellent verbal and written communication skills, including professional e-mail etiquette
Proactive and advantageous attitude with the ability to remain flexible and adaptable
Strong interpersonal skills and the ability to work collaboratively with diverse teams
Eagerness to learn and curiosity about animation production processes
Helpful and positive attitude with a team-first mentality


Technical Proficiency


Strong computer skills on Mac or PC platforms
Familiarity with Final Draft 9.0 for script management
Proficient in Adobe Acrobat Pro for document management
Working knowledge of Adobe Photoshop and Adobe Illustrator for image handling
Experience with ToonBoom Storyboard Pro or similar storyboarding software
Advanced Microsoft Excel skills for tracking and data management
Proficient in Microsoft Word, Microsoft Outlook, and Microsoft PowerPoint


Preferred Experience


Previous experience in animation, film, or television production
Familiarity with pre-production workflows in entertainment or media
Understanding of asset management and digital file organization
Experience working with remote teams and virtual meeting platforms
Background in creative project coordination or production support roles

Compensation & Benefits
