Job Summary As a Passport Data Entry Clerk II, you will play a critical role in supporting the Chicago Passport Agency. You will be responsible for operating various equipment, preparing and mailing envelopes, interfacing with passport applicants, and performing a range of administrative tasks. This is a unique opportunity to work in a fast-paced environment, develop your skills, and contribute to the success of our team. Key Responsibilities Operate high-speed scanning equipment, mail out and metering machines, and other office equipment Prepare and mail envelopes with correct passport and corresponding supporting documents Box and archive files for storage purposes Interface with passport applicants at Agency/Center Information and Will-Call counters, ensuring appointments are scheduled and applications are complete Review passport applications, photographs, identification, and supporting documentation for completeness prior to adjudication Ensure applications and documents comply with Passport requirements, photographs meet Passport standards, and customers are provided fee information Print and review passport books for accuracy and quality prior to distribution to applicants Process refund/reimbursement requests and generate credit card payments Assist with Acceptance Agent training and maintain electronic records of passport acceptance facilities Contact applicants to request necessary documents and resolve undeliverable mail items Generate correspondence to resolve application discrepancies, including Return to Sender (RTS), Rewrites and Re-issues, and re-batch into the system Requirements and Qualifications Essential Qualifications: High school diploma or GED required Three years of general office experience Two years of experience utilizing a variety of office software, specifically Microsoft Office Capable of performing repetitive tasks while maintaining a high level of accuracy Ability to work in one place and traverse the office on a continuing basis Must maintain constant awareness of all aspects of internal and external security US citizenship required due to government contract requirements and/or clearance requirements Preferred Qualifications: Experience working with customers in a front-facing capacity Familiarity with passport application processes and procedures Excellent communication and interpersonal skills Skills and Competencies To succeed in this role, you will need: Strong attention to detail and accuracy Excellent communication and interpersonal skills Ability to work in a fast-paced environment and prioritize tasks Strong organizational and time management skills Ability to maintain confidentiality and handle sensitive information Career Growth Opportunities and Learning Benefits At CGI Federal, we are committed to the growth and development of our employees.
