Job Overview
In this role, you will be responsible for entering data into military systems of record, maintaining accurate and up-to-date information, and providing administrative support to our team. You will work collaboratively with our event team to ensure seamless execution of our medical readiness services. As a Medical Data Entry and Administrative Support Specialist, you will be required to obtain a Common Access Card (CAC) and adhere to all relevant federal and state laws and regulations, including HIPAA. Key Responsibilities
Set up, take down, and maintain workstation equipment at events
Provide check-in and check-out services at events, ensuring a smooth and efficient process
Offer additional administrative support to the team as needed, demonstrating flexibility and a willingness to adapt to changing circumstances
Visually scan through paper documentation to identify pertinent information, ensuring accuracy and attention to detail
Enter and update information into appropriate databases, maintaining accurate and up-to-date records
Scan and copy documents as applicable, ensuring that all necessary documentation is properly maintained
Maintain accurate data in spreadsheets, utilizing intermediate technical skills and knowledge of operating office equipment
Work collaboratively with the event team to ensure seamless execution of medical readiness services
Safeguard all patient information by keeping all written and verbal communications confidential, adhering to HIPAA and other relevant laws and regulations
Run reports of necessary data and enter into systems of record, demonstrating proficiency in data analysis and management
Perform high-level data validation, entering information into required systems and databases with accuracy and attention to detail
Ensure all actions comply with HIPAA and other appropriate federal and state laws and regulations, demonstrating a commitment to confidentiality and data security
Essential Qualifications
To be successful in this role, you will need to possess the following essential qualifications:
High school diploma or equivalent preferred
Valid US driver's license
18 years of age or older
Collaborative and solutions-oriented approach, with excellent customer service skills and experience interacting with challenging clientele
Intermediate technical skills and knowledge of operating office equipment, including computers, scanners, and printers
Familiarity with medical and/or dental terminology, with 1+ years of experience in data entry in a medical or dental setting
Computer proficiency, specifically in Microsoft Word, Excel, Outlook, and SharePoint
Ability to work in a fast-paced environment and adapt to changes quickly, with a strong attention to detail and ability to concentrate for lengthy periods
Must submit no less than two professional references with a resume
Preferred Qualifications
While not essential, the following qualifications are preferred:
Technical skills, including familiarity with military databases such as MEDCHART, Medical Protection System (MEDPROS), MEDPROS Web Data Entry (MWDE), Defense Occupational and Environmental Health Readiness System (DOEHRS), and Medical Operational Data System (MODS)
Working knowledge of military regulations and policies that apply to Individual Medical Readiness (IMR) and deployment
Previous approval for CAC, either in the military or as a contractor
