Key Responsibilities
As a Front Office Coordinator/Medical Assistant, you will be responsible for a wide range of duties, including:
Welcoming patients, collecting and updating necessary information, and ensuring accurate registration paperwork
Providing exceptional customer service, anticipating patients' anxieties, and maintaining a comfortable reception area
Conducting financial conversations, reviewing patient procedure estimates, and collecting balance due on accounts
Ensuring availability of treatment information by creating and maintaining daily consult sheets, pre-procedure checklists, and signed patient estimates
Helping to keep patient appointments on schedule by notifying staff of patient arrival, reviewing clinic flow, and notifying staff and providers of schedule delays
Optimizing patients' satisfaction, provider time, and treatment room utilization by accurately scheduling procedures and follow-up appointments
Verifying appointments on the schedule, ensuring procedure authorizations/predeterminations are active and documented in the patient chart
Assisting patients with selection and purchase of compression wear and opening/closing the cash drawer daily
Additional Responsibilities
In addition to the key responsibilities listed above, you will also be expected to:
Follow the American Vein way by adhering to professional standards, policies, and procedures, federal, state, and local requirements
Adhere to HIPAA federal regulations by safeguarding medical records, keeping patient information confidential, and utilizing the "minimum necessary" rule
Maintain business office inventory and equipment by checking stock, anticipating needed supplies, and expediting orders
Monitor compression inventory and notify the manager of special requests for changing inventory
Protect patients' rights by maintaining confidentiality of personal and financial information
Perform other duties as assigned by management

To be considered for this role, you should have:
A high school diploma or general education degree (GED)
One to three years of related experience in a medical office setting
Ability to read and interpret documents, write routine reports, and speak effectively before groups
Basic mathematical skills, including addition, subtraction, multiplication, and division
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
Ability to deal with problems involving several concrete variables in standardized situations
Desired Qualifications
We prefer candidates with:
Experience working in a medical office setting
Knowledge of EMR software
Basic computer skills, including Microsoft Word, Excel, and Outlook
