Position Overview
As a Financial Reconciliation & Trade Processing Specialist at arenaflex, you will play a critical role in ensuring the accuracy and integrity of investment transactions across client accounts. You will be responsible for daily reconciliation activities, trade processing, and maintaining the highest standards of operational excellence. This position requires a keen eye for detail, strong analytical skills, and the ability to thrive in a fast-paced, collaborative environment.
Your expertise will directly impact our ability to maintain client satisfaction, prevent account attrition, and ensure regulatory compliance. You will serve as a vital link between our clearing operations, fund companies, transfer agents, and external business partners, making this role essential to our overall operational success.
Key Responsibilities
Trade Processing & Transaction Management
Process exchange buy and sell transactions in customer profiles with precision and timeliness
Review and verify membership deals and transaction requests to ensure accuracy
Execute client investing and dividends requests in a timely and accurate manner
Handle client/advisor level exceptions with professionalism and attention to detail
Ensure proper documentation and audit trails for all transactions
Reconciliation & Break Resolution
Identify, analyze, and address breaks recognized between arenaflex and fund companies or transfer agents
Perform daily reconciliation activities across all operational systems
Settle business, dividend, and transfer breaks efficiently
Conduct reconciliation between BOS (Back Office Systems) and Fund Companies
Investigate and document the origin of discrepancies between arenaflex, fund companies, and other partners
Corporate Actions & Transfer Operations
Manage and process Corporate Activity Events accurately
Settle and reconcile transfer activity between various parties
Process and reconcile returns activity
Provide follow-up on Choice Investment moves to expedite client requests or remediate not-in-good-order issues
Coordinate with transfer agents and contra agencies on complex transfer scenarios
Regulatory Compliance & Risk Management
Ensure regulatory commitments are met, including requirements such as Rule 2340 and SEC Regulation 15C3-3
Analyze and interpret relevant tax codes and corrections of tax coding
Maintain compliance with industry regulations and internal policies
Identify potential risks and recommend mitigation strategies
Document all compliance-related activities thoroughly
Problem Solving & Process Improvement
Research and resolve complex and escalated issues
Identify and address internal/external system enhancements or issues
Provide methodology or technology solution options to Management
Remediate transmission issues with fund companies or contra agencies
Participate in testing and validation of new technology enhancements and provider changes
Contribute to continuous improvement initiatives within the operations team
Client & Partner Communication
Respond to service partner inquiries regarding fund-specific requirements and eligibility
Collaborate with Retail and Institutional Business Teams through email, phone, Slack, Outlook, and Salesforce
Maintain day-to-day relationships with fund companies, transfer agents, contra agencies, and other external business partners
Provide exceptional service to internal and external stakeholders
Essential Qualifications
Strong understanding of financial markets, investment products, and trading operations
Experience with reconciliation processes and break resolution in financial services
Knowledge of regulatory requirements in the securities industry
Proficiency with technology platforms including Outlook, Salesforce, and collaborative tools
Excellent analytical and problem-solving skills
Strong attention to detail and accuracy
Excellent written and verbal communication skills
Ability to manage multiple priorities and meet tight deadlines
Self-motivated with the ability to work independently and as part of a team
High school diploma required; bachelor's degree in Finance, Accounting, or related field preferred
Preferred Qualifications
Previous experience in investment operations, trade processing, or financial reconciliation
Familiarity with clearing operations and transfer agency processes
Understanding of corporate actions and dividend processing
Experience with tax code analysis and tax processing in investment accounts
