As a key member of our team, you'll provide high-level administrative support to senior leaders, ensuring seamless execution of complex tasks and projects. Your exceptional organizational skills, attention to detail, and ability to work under pressure will be essential in maintaining the highest level of service delivery. **Key Responsibilities** * Coordinate, confirm, and proactively manage detailed schedules, handling all aspects of complex senior-level meetings and related logistical arrangements. * Place, receive, and manage a high volume of calls and messages. * Schedule and coordinate high-volume, complex global and domestic travel, including flights, hotel, and ground transportation; coordinate essential identification/visa documentation. * Perform general tasks, including, but not limited to, planning correspondence, document organization, research, documentation, and preparing pre-meeting audit materials. * Prepare travel and expense reports on a timely basis. * Exercise discretion in handling highly sensitive and confidential information. * Create and execute representative communications, including, but not limited to, planning of meetings, leader updates, and phone calls. * Other related tasks and responsibilities as assigned. **Essential Qualifications** * Ability to manage multiple tasks efficiently and effectively while meeting tight deadlines. * Self-starter with excellent initiative and prioritization skills. * Bilingual with the ability to communicate in Spanish (desired). * Demonstrated ability to exercise good judgment, act independently, and be creative. * Excellent communication and interpersonal skills, with the ability to influence at all levels of the organization. * Strong organizational skills, high attention to detail, and ability to remain calm under pressure. * Proven individual excellence and strong work ethic, with a strong desire to succeed. * Proficient in the use and application of arenaflex systems and processes. **Preferred Qualifications** * 3+ years of experience as an Executive Assistant or in a similar role. * Proven track record of providing high-level administrative support to senior leaders. * Experience working in a fast-paced, dynamic environment. * Familiarity with arenaflex's products and services. * Certification in a related field, such as executive administration or business administration. **Career Growth Opportunities and Learning Benefits** At arenaflex, we're committed to helping our employees grow and develop their careers.
