What You'll Do
As a Business Administrator at arenaflex, you will serve as a vital link between our leadership team and the broader organization. Executive Support & Coordination
Work in close partnership with Executive Assistants and the administration team to provide seamless support to arenaflex executives and senior leadership
Collaborate with the business organization community on various company-related events, ensuring every initiative runs smoothly and reflects arenaflex's commitment to excellence
Communicate effectively with stakeholders at all levels, including arenaflex executive leadership, to coordinate priorities and manage multiple projects simultaneously
Serve as a trusted point of contact for internal and external stakeholders, representing arenaflex with professionalism and integrity
Financial Administration
Process, submit, and review cost reports in full compliance with arenaflex policies and procedures
Maintain meticulous financial records and ensure all documentation meets internal audit standards
Assist with budget tracking and resource allocation across various departmental initiatives
Partner with finance teams to resolve any discrepancies and ensure accurate expense reporting
Event & Meeting Management
Coordinate all meeting logistics, from small team gatherings to large-scale corporate events
Plan and execute employee appreciation events, team all-hands meetings, and off-site retreats
Manage venue selection, catering, materials preparation, and attendee communications for events of varying sizes
Handle last-minute scheduling changes and special requests with grace and efficiency
Support conference attendance, trade show participation, and external engagement opportunities
Administrative Excellence
Provide comprehensive organizational and staffing support to the team, including space management, asset management, procurement, and headcount management
Oversee new hire and internal onboarding processes, ensuring every team member has a seamless introduction to arenaflex
Manage event logistics from planning through execution, including vendor relationships and budget management
Maintain group information with appropriate classification and integrity, exercising good judgment in decision-making within your area of responsibility
Handle procurement of goods and services including computer equipment, office supplies, reference materials, and general office demands
Manage office onboarding processes for new employees, including workspace setup, equipment provisioning, and system access
Schedule support and coverage as required to ensure continuous operational coverage
Execute additional daily administrative tasks as needed to support team productivity and efficiency

Essential Qualifications
Education: Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology, or a related field
Experience: Proven track record in administrative, business support, or customer service roles
