About the Role We are seeking an experienced and skilled Assistant Facilities Supervisor to join our team in the Tampa area. As an integral part of our facilities management team, you will play a crucial role in supporting the Facility Manager in the day-to-day implementation of policies, procedures, and programs. Your primary focus will be on ensuring a well-managed, well-maintained building that meets the needs of tenants, prioritizes environmental health and safety, and adheres to quality programs aligned with our client's goals and objectives. Key Responsibilities Support the Facility Manager in the day-to-day operational management of all aspects of the property to maintain approved quality standards. Assist in the preparation and coordination of fire, life safety, and other safety programs, ensuring that policies and procedures are followed. Participate in the selection of contract services, vendor negotiation of service agreements, and oversee day-to-day vendor performance to ensure compliance with established standards. Work closely with staff in planning and organizing internal and building-to-building moves, including the selection of movers and specialty trade contractors/vendors. Coordinate the completion of work order requests in a timely and satisfactory manner, and assist the Facility Manager with day-to-day financial management, budget preparation, and financial reviews. Provide positive and prompt responses to requests from building tenants and clients, maintaining ongoing communications with the Owner Representative to ensure needs are met. Perform regular assessments of the workspace to identify areas requiring repair, replacement, or upgrade, and report issues to the Facilities Supervisor or Facility Manager for correction. Be available on-call 24/7 to respond to property events, emergencies, or incidents, and may review leases to ensure compliance with lease provisions. Essential Qualifications To be successful in this role, you will need: A Bachelor's Degree or equivalent experience in a relevant field. A minimum of 3-5 years of experience in real estate/facility coordination or management, with a proven track record of handling multiple complex tasks with minimal supervision. Excellent computer, writing, and communication skills, with the ability to work well with diverse individuals both inside and outside the company. Strong analytical abilities, with a focus on problem-solving and attention to detail. Preferred Qualifications While not essential, the following qualifications are highly desirable: Experience in commercial property management, with a strong understanding of facilities maintenance, operations, and safety protocols. Familiarity with budget preparation, financial management, and vendor contract negotiation. Knowledge of environmental health and safety regulations, with a commitment to ensuring a safe and healthy work environment.
