Job Overview We are seeking an experienced and highly skilled Administrative Assistant for Pupil Services to join our team. This 12-month position is based in our Administrative Office in Pennsylvania and offers a competitive salary of $19.60 per hour. As an Administrative Assistant, you will play a vital role in supporting the daily and strategic operations of our Pupil Services department, ensuring the smooth delivery of administrative responsibilities. Your expertise and dedication will be essential in helping us achieve our mission to educate all students to meet the rigorous challenges of a global society. Key Responsibilities Coordinate and implement daily and strategic operations to assist and support the department with administrative responsibilities Answer incoming telephone calls, screen callers, schedule appointments and meetings, and respond to inquiries Process daily mail, utilize various software products to design and develop correspondence, flyers, spreadsheets, and other materials Compose, design, fax, proofread, print, duplicate, collate, distribute, and file division materials, including correspondence, memos, reports, bids, and budgets Respond to or redirect all forms of communication, monitor weekly, maintain, and update monthly department website and DASD Sharepoint portal postings Prepare and submit requisitions, reconcile expenditures, and set up and maintain efficient office systems and procedures Interface with all levels of employees and external contacts, greet visitors, provide assistance and information, and respond to inquiries and requests Maintain and check tickler file daily, prioritize job assignments, and ensure timely follow-through Meet regularly with the administrator to review work and appointment schedule, discuss assignments, review progress of projects, and agree on goals and timetables Anticipate and initiate collection of data, compile and summarize information, prepare State and Federal reports, perform budget computations, and monitor progress Schedule, prepare agenda, attend, and take minutes for meetings as required, reserve room accommodations, and make necessary arrangements for refreshments Use initiative and decision-making skills to assist the department, create and maintain position procedure outlines, and work in collaboration and coordination with other assistants Essential Qualifications High school diploma with a minimum of three years of experience in a similar position Knowledge of standard office procedures and practices Ability to handle multiple tasks simultaneously and proficient secretarial skills, including organizational skills and the ability to meet deadlines Strong technology skills, including but not limited to all tools in the Office and Google Suites Proficiency in the use of technology for individual and system management, communication, and research Strong mathematical, verbal, and written communication skills Ability to make decisions independently and execute assignments of administrative detail as delegated High level of interpersonal skills to handle sensitive and confidential situations and information Preferred Qualifications Experience working in an educational setting or with pupil services Familiarity with special education laws and regulations Knowledge of budgeting and financial management principles Experience with data analysis and reporting Strong problem-solving and critical thinking skills Skills and Competencies Excellent communication and interpersonal skills Strong organizational and time management skills Ability to work independently and as part of a team Proficient in Microsoft Office and Google Suites Strong attention to detail and ability to maintain confidentiality Ability to adapt to changing priorities and deadlines Career Growth Opportunities and Learning Benefits At Downingtown Area School District, we are committed to the growth and development of our employees.
