Summary

CatFace seeks an organized and proactive Executive Team Assistant to support its executive team. Responsibilities include complex calendar management, meeting coordination (agendas, notes, follow-ups), acting as a communication liaison, company-wide coordination, administrative support (correspondence, reports, documents), task and deadline management, travel arrangements, and assisting with company events. The ideal candidate possesses exceptional organizational and multitasking skills, excellent communication, strong attention to detail, and proficiency in scheduling tools and office applications. Experience in creative industries is a plus. This role is vital for ensuring seamless workflows and meeting key priorities within a fast-paced, dynamic environment.

Position Overview:
CatFace is seeking an organized and proactive Executive Team Assistant to support the executive team with scheduling, meeting coordination, and maintaining efficient operations across the company. Reporting directly to the executive leadership, this role is vital to ensuring that team workflows are seamless and that key priorities are met. As the Executive Team Assistant, you’ll be at the core of a dynamic, creative company, ensuring that Catface’s leadership team operates at peak efficiency. Key Responsibilities:
• Schedule Management: Maintain and organize complex calendars for the executive team, scheduling meetings, appointments, and events, while anticipating and resolving conflicts in advance.
• Meeting Coordination: Plan, prepare, and facilitate meetings, including creating agendas, taking detailed notes, and tracking follow-ups to ensure completion of action items.
• Communication Liaison: Act as the primary point of contact for the executive team, ensuring timely and clear communication across departments and with external partners.
• Company-Wide Coordination: Stay informed about company activities, projects, and priorities to support executives in managing workflows and staying aligned with company objectives.
• Administrative Support: Manage correspondence, prepare reports, and assist with document creation for presentations and company-wide communications.
• Task Management: Track deadlines and deliverables for multiple projects, proactively reminding the executive team of key responsibilities.
• Travel Coordination: Arrange travel logistics, including flights, accommodations, and itineraries, ensuring all travel plans align with the executive team’s schedules and company events.
• Office & Event Support: Assist with planning company events, conferences, and off-sites, ensuring all logistics are seamless and meet the company’s high standards.

Qualifications:
• Bachelor’s degree or equivalent experience in Administration, Business, or related fields.
• 3+ years of experience as an executive assistant, administrative assistant, or in a similar support role.
• Exceptional organizational and multitasking skills, with a strong attention to detail.
• Excellent written and verbal communication skills.
• Ability to maintain confidentiality and exercise discretion when handling sensitive information.
• Proficiency with scheduling tools, project management software, and office applications (Google Workspace, Microsoft Office, etc.).
• Comfortable working in a fast-paced environment with competing priorities.
• Familiarity with creative industries such as digital entertainment, gaming, or animation is a plus.
• May be required to work weekends as needed to meet business demands
