Executive Operations Administrative Assistant

We are seeking a highly organized and assertive Executive Administrative Assistant to provide exceptional support to our Chief Empowerment Officer and Chief Learning Officer. The ideal candidate will be a proactive problem-solver with exceptional time management and communication skills. This role requires a high degree of initiative and the ability to anticipate needs and keep the executive on track.

Responsibilities:
• Executive Support:
• Proactively manage the executive's calendar, anticipating scheduling conflicts and prioritizing appointments.
• Coordinate and schedule complex travel arrangements, including flights, accommodations, and ground transportation.
• Prepare and edit correspondence, presentations, and other documents using Google Workspace, ensuring accuracy and attention to detail.
• Maintain meticulous organization of the executive's files and records.
• Anticipate the executive's needs and proactively address them.
• Communication:
• Communicate effectively and professionally with internal and external stakeholders on behalf of the executive.
• Maintain a calm and assertive demeanor in high-pressure situations.
• Exercise discretion and confidentiality in all matters.
• Technology:
• Utilize Google Workspace (Docs, Sheets, Slides, etc.) for daily tasks.
• Create visually appealing graphics and presentations using Canva.
• Leverage AI tools to streamline tasks and improve efficiency.
• Demonstrate strong computer skills and the ability to adapt to new technologies.
• Scheduling:
• Expertly manage schedules across multiple time zones, accommodating the executive's demanding schedule.
• Coordinate and confirm meetings with team members in various locations, ensuring all parties are well-informed.
• Implement and maintain a system for tracking deadlines and commitments.
• Project Management:
• Assist the executive with project management, production coordination, including tracking progress, coordinating with team members, and ensuring deadlines are met.
• Take initiative to identify and resolve potential roadblocks.
• Other:
• Assist with special projects as assigned.
• Provide general office support as needed.

Qualifications:
• Experience: 2+ years of experience supporting a high-level executive in a fast-paced environment.
• Availability: Must be available during PST business office hours
• Skills:
• Exceptional organizational and time management skills, with a proven ability to prioritize and multitask effectively.
• Strong communication and interpersonal skills, with the ability to build rapport with diverse individuals.
• Proactive and resourceful, with a demonstrated ability to anticipate needs and take initiative.
• Assertive and diplomatic, with the ability to influence and persuade others.
• Proficiency in Google Workspace, Canva, and AI tools.
• Ability to handle scheduling across multiple time zones.
• Experience with arranging transportation and logistics.
• Professional demeanor and strong work ethic.
• Ability to maintain confidentiality and discretion.
• High tolerance for ambiguity and change.
