The client operates two U.S.-based healthcare businesses focused on improving patient outcomes and supporting medical providers. The primary business delivers innovative technology to assist physicians treating neuropathy. The second business supports a U.S. diabetic shoe program, working closely with independent contractor fitters and managing payer-related documentation workflows.

This is a small, fast-moving organization with strong growth potential, seeking a long-term, foundational team member who can grow alongside the company.

About the Role
This is a full-time role for a highly organized, detail-oriented Executive Assistant with strong phone communication and sales support experience. You will directly support the CEO and VP of Operations across two healthcare business lines.

Daily responsibilities focus on outbound outreach, follow-ups, appointment scheduling, CRM updates, and executive-level administrative coordination. This role is ideal for someone who enjoys speaking with people, thrives on organization, captures details accurately, and consistently follows through. Over time, there is room to grow into broader operations or leadership responsibilities.

Key Responsibilities

Sales Support & Lead Generation
• Make outbound calls to U.S.-based clinics and healthcare offices with a professional, confident phone presence
• Schedule appointments and support the CEO’s sales pipeline through consistent follow-up
• Document call outcomes, decision-maker details, objections, and next steps in the CRM

Executive Support & Coordination
• Manage inbox priorities, calendars, reminders, and follow-ups for the CEO and VP of Operations
• Keep internal priorities organized across both business lines
• Capture key details from conversations and translate them into clear next steps

CRM & Administrative Operations
• Maintain accurate records in GoHighLevel (contacts, notes, tasks, pipelines, activity logs)
• Support simple reporting and spreadsheet tracking for outreach and operational metrics
• Coordinate documentation flow and internal communication to keep processes moving

Recruiting & Fitter Program Support (Diabetic Shoe Program)
• Assist with recruiting independent contractor fitters (posting ads, screening, scheduling)
• Support fitter onboarding through organization, communication, and document tracking
• Provide responsive, professional communication to contractors and internal stakeholders

Communication & Customer Service
• Serve as a professional first point of contact via phone, email, and messaging
• Ensure providers and partners feel supported through timely responses and clear follow-ups
• Maintain a friendly, service-oriented approach while staying efficient and structured

Qualifications & Skills

Must Have
• Excellent spoken English with a neutral, U.S.-friendly accent
• Strong organizational habits and love for systems and follow-through
• High attention to detail with accurate documentation skills
• Experience with phone-based outreach, appointment setting, customer service, or sales support
• Healthcare experience, medical sales support, or work with clinics/provider networks
• Comfort working in a CRM (GoHighLevel preferred or ability to learn quickly)
• Strong written communication and professional responsiveness
• Ability to adapt in a small business environment and manage multiple priorities
• Proactive mindset with strong ownership and accountability

Strong Plus
• Experience recruiting or coordinating independent contractors
• Experience supporting executives or operations leaders
• Bachelor’s degree preferred
