Federal Home Loan Bank of Indianapolis (FHLBI) is a cooperative that provides liquidity to member institutions to support housing finance and community development. The Executive Assistant will support the President-CEO and senior management team, focusing on HR and business development events while providing professional and confidential administrative assistance. Responsibilities Provide professional and confidential assistance which includes, but not limited to, cross-functional support, special projects, calendar management, arrange meetings, process invoices and expenses, book travel, update various intranet sites using SharePoint and maintain confidential and non-confidential files and records for departments that this position supports Identify recommendations for changes in policies or procedures to improve efficiency and cost effectiveness of office operations Assists in the coordination of logistics of various bankwide and external events, including team and/or bankwide catering requests, onsite/offsite staff events, etc., in addition to various events/trainings that could include speakers, lunch and learns, internal/external workshops, etc Actively participates in meetings and facilitates reporting and follow-up across attendees, as required Registration assistance for Bank events may use applicable electronic tools Assists the Bank’s Event Coordinator with various bankwide and member events, including Symposiums, Regional Member Meetings, member workshops, seasonal staff celebrations, etc Actively participates in meetings and facilitates reporting and follow-up across attendees, as required Registration assistance for Bank events may use applicable electronic tools Assists in the TPP (third party provider) process, which may include completion of TPP requests and contacting vendors for the purpose of verifying information and/or responding to inquiries Exercise diplomacy and excellent communication skills when interfacing with Board Members, Senior Management staff, Bank staff, Members and FHLBI visitors Supply information that requires knowledge of functional organization and procedures Ensure effective and efficient workflow between internal and external customers Enhances productivity and demonstrates advanced proficiency by adapting to new technology and acquiring new technical skills through training Skills Must be flexible in workflow demands as required duties can change with Bank needs Must comply with in-person requirements for duties that require presence in the Bank Proficient in Microsoft Office products Excel is required for tracking data in various files in HR Must not have been convicted of any civil or criminal charge that would suggest a risk to Bank security Must be able to work full-time and overtime as needed Ability to uphold and model the Bank's Guiding Principles Banking or other equivalent business experience Event planning skills Benefits Flexible hybrid workforce model: Onsite three days a week and two days remote.
