EXECUTIVE ASSISTANT | Contractor Part-Time

Summary

Spark Advisors is looking for an experienced Executive Assistant to support the Chief Executive Officer and Chief Product Officer. In this role, you will be responsible for managing complex schedules, coordinating travel, and taking ownership of company meetings. The ideal candidate will have experience supporting multiple executives simultaneously, excel at solving scheduling puzzles, and possess exceptional organizational skills.

This role will start out as a contractor position at 20 hours per week, (5 days per week, 4 hours per day) with the potential to become full-time.

Key Responsibilities
• Provide comprehensive administrative support to the CEO and CPO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
• Serve as the primary point of contact for internal and external communications on behalf of the executives, including drafting and editing correspondence, and presentations.
• Organize and prepare for meetings, including gathering necessary documents, creating agendas, and taking minutes/sending follow-up recaps.
• Take ownership of documentation for company-wide and other key meetings, ensuring accuracy and accessibility.
• Handle sensitive information with the utmost confidentiality and discretion.
• Build and maintain positive relationships with key stakeholders, clients, and partners.
• Manage employee recognition programs, including birthday gifts and anniversary acknowledgments.

Skills, Knowledge, and Expertise
• Proven experience as an Executive Assistant or in a similar administrative role, preferably supporting multiple executives simultaneously.
• Strong organizational and time-management skills with the ability to prioritize tasks effectively.
• Demonstrated expertise in coordinating travel arrangements
• Strong verbal and written communication skills.
• High level of discretion and professionalism in handling confidential information.
• Ability to work independently and be a self-starter.
• Strong problem-solving skills and attention to detail.
• Ability to work Eastern Time Zone hours as needed

Nice to haves
• Proficiency with Google Suite
• Familiarity with software tools (We use Slack, Zoom, Greenhouse)
• Previous experience in a fast-paced, high-growth company.
• Experience in event planning and coordination

Compensation

Our salary ranges are based on paying competitively for our company’s size and industry, and are one part of the total compensation package that also includes equity, benefits, and other opportunities at Spark. In accordance with New York City, Colorado, California, and other applicable laws, Spark is required to provide a reasonable estimate of the compensation range for this role. Individual pay decisions are ultimately based on a number of factors, including qualifications for the role, experience level, skillset, geography, and balancing internal equity. A reasonable estimate of the current salary range is listed below. We expect most candidates to fall in the middle of the range. We also believe that your personal needs and preferences should be taken into consideration, so we allow some choice between equity and cash.
