Executive Administrator / Operations & Contracts Lead for Event Tech (Saudi Arabia)

Role Summary We're looking for an exceptional Executive Administrator to serve as the right-hand support to our leadership team (including the CEO) while owning critical operational functions. You'll manage all contracts administration, lead customer support operations, handle key administrative workflows, and ensure seamless day-to-day execution. This is far more than a traditional admin role—it's a strategic position where your efficiency, attention to detail, and problem-solving directly fuel business growth in Saudi Arabia's exciting event tech landscape. You'll work closely with the CEO, product, sales, and support teams in a high-energy, results-driven culture. Key Responsibilities — Contracts Administration: Draft, review, negotiate, and manage all company contracts (client agreements, vendor partnerships, NDAs, SLAs, renewals), ensuring compliance with Saudi regulations, data protection standards, and company policies. — Customer Support Leadership: Oversee and scale customer support operations—including ticketing systems, email/phone/chat channels, issue resolution, and escalation processes—to deliver exceptional service and high CSAT scores for event organizers and attendees. — Executive Support: Provide high-level administrative assistance to the CEO and leadership, including calendar management, travel coordination, meeting preparation, board/investor materials, and confidential correspondence. — Operational Excellence: Streamline internal processes, manage office/vendor relationships, track key metrics (contracts pipeline, support tickets, renewal rates), and implement tools/systems to boost efficiency. — Cross-Functional Coordination: Act as liaison between departments (sales, product, finance, legal) to resolve issues, facilitate smooth handoffs, and support go-to-market activities. — Compliance & Documentation: Maintain organized records, ensure GDPR/Saudi PDPL compliance in customer data handling, and prepare reports/dashboards for leadership review. — Proactive Problem-Solving: Anticipate needs, identify bottlenecks, and drive improvements in admin, support, and contract workflows to support rapid company scaling. Qualifications & Experience — 5+ years of experience in executive administration, contracts management, customer support operations, or a similar multifaceted role—ideally in tech/SaaS, events, or professional services. — Strong expertise in contract administration (reviewing terms, risk identification, negotiation basics) and familiarity with Saudi commercial laws/regulations a significant advantage. — Proven ability to lead or scale customer support functions in a B2B environment, with experience using tools like Zendesk, Intercom, Freshdesk, or similar. — Exceptional organizational and multitasking skills; highly detail-oriented with a proactive, solutions-focused mindset. — Proficiency in Microsoft Office/Google Workspace, CRM systems (e.g., HubSpot/Salesforce), and contract management tools (e.g., DocuSign, PandaDoc). — Fluency in English and Arabic (spoken and written) is essential for client and internal communications. — Bachelor's degree in Business Administration, Law, or a related field preferred. — Experience in a startup or high-growth tech company is a plus, bonus if you've supported founders/CEOs directly.
