Job Summary and Overview We are looking for a highly organized and detail-oriented individual to fill the role of Entry Level Accounting Administrator in our Finance & Accounting Department. This entry-level position will provide support for contract administration processes, as well as basic accounting tasks such as accounts payables, receivables, and payroll. The ideal candidate will possess strong communication skills, a willingness to learn, and the ability to work effectively in a fast-paced environment. No prior experience is required, but a background in contracts, administration, or finance is highly desirable. Key Responsibilities and Duties Contract Administration: Assist in drafting, reviewing, and processing contracts, agreements, and amendments. Maintain organized records of contracts and related documents, track contract milestones, expiration dates, and renewal opportunities, and support the Director of Finance with compliance checks and ensuring adherence to contract terms. Accounting: Process basic financial transactions such as purchase orders, invoices, and payments. Reconcile expense reports and assist in maintaining accurate financial records, support month-end and year-end financial close processes by gathering necessary documentation, and support the payroll process by tracking and verifying payroll data and timesheets. General Administrative Support: Handle correspondence and communication related to contracts and financial matters, support audits and compliance reviews by preparing documentation as requested, and assist with other administrative tasks as needed. Essential Qualifications and Requirements To be considered for this role, candidates must possess a High School Diploma or equivalent, with a 2-4 year degree preferred. Equivalent experience or certifications in administrative assistance, contracts administration, and/or accounting will also be considered. The ideal candidate will have a strong foundation in basic accounting principles and processes, as well as an understanding of contract lifecycle management. Core Competencies and Skills Attention to Detail: Strong attention to detail and organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Communication Skills: Excellent written and verbal communication skills, with the ability to effectively communicate with internal stakeholders and external partners. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), with experience in contract management or accounting software being a plus. Adaptability: Eagerness to learn and adapt in a dynamic work environment, with a willingness to take on new challenges and responsibilities. Preferred Qualifications and Experience While not required, the following qualifications and experience are highly desirable: Familiarity with basic accounting principles and processes. Understanding of contract lifecycle management. Internship or academic project experience in contracts or accounting.
