Why This Role Matters
Our Dispatch & Data Entry Coordinator plays a pivotal role in the heartbeat of daily operations. By seamlessly managing inventory, scheduling equipment, and maintaining clear communication with vendors, you help ensure that each project runs on time, within budget, and without a hitch. Your attention to detail directly impacts the safety and efficiency of construction sites, event venues, and traffic management operations across the North Las Vegas region and beyond.

Key Responsibilities – What You’ll Own Every Day

Project Tracking & Coordination: Monitor the status of all active jobs, update progress logs, and alert the Operations Manager to any bottlenecks or delays.
Vendor Communication: Serve as the primary point of contact for suppliers, handling phone calls, emails, and electronic messages to confirm deliveries, resolve issues, and maintain strong professional relationships.
Inventory Management: Keep accurate records of all equipment, safety gear, and consumables using arenaflex’s inventory software; conduct regular cycle counts and reconcile discrepancies.
Scheduling & Dispatching: Create daily work schedules, assign the right tools and personnel to each job, and ensure all necessary permits and paperwork are filed on time.
Data Entry & Reporting: Enter job details, hours worked, and invoicing information into Microsoft Excel and arenaflex’s ERP system with precision, generating weekly and monthly performance reports for senior leadership.
Support Duties: Provide ad‑hoc assistance to the Operations Department, including preparing documents, filing, and helping with special projects that enhance operational efficiency.
Compliance & Safety Checks: Verify that all equipment dispatched meets safety standards and that documentation aligns with regulatory requirements.

Essential Qualifications – What You Need to Succeed

High school diploma or GED equivalent; additional coursework or certifications in office administration, logistics, or supply chain management is a plus.
Proven ability to maintain meticulous records and handle multiple simultaneous tasks without sacrificing accuracy.
Demonstrated proficiency with Microsoft Office Suite—particularly Outlook, Excel (formulas, pivot tables, and data validation), and Word.
Strong verbal and written communication skills; comfort speaking directly with vendors and internal teams.
Valid driver’s license with a clean driving record; ability to travel locally for occasional site visits.
Successful completion of a pre‑employment drug screening and background check.

Preferred Qualifications – Nice‑to‑Have Extras

Previous experience in dispatch, logistics, or data entry within a construction, event‑management, or safety‑services environment.
Familiarity with inventory management software (e.g., Fishbowl, NetSuite, or a custom arenaflex system).
Basic knowledge of OSHA regulations, traffic safety standards, or related industry guidelines.
Experience using cloud‑based collaboration tools such as Microsoft Teams, Slack, or Asana.
Professional certifications such as Certified Logistics Associate (CLA) or Certified Administrative Professional (CAP).

Time Management: Prioritize daily tasks to meet strict deadlines while handling unexpected requests.
