Job Purpose and Overview
As a Property Management Customer Service Representative, you will serve as the primary point of contact for our residents, addressing inquiries, resolving issues, and providing timely and effective solutions. Your primary goal will be to deliver outstanding customer service, ensuring that our residents' needs are met, and their expectations are exceeded. You will work closely with our property management team to address resident issues, improve overall resident satisfaction, and contribute to the success of our property management operations.

Key Responsibilities and Duties

Provide exceptional customer service to residents by promptly responding to inquiries, requests, and concerns via phone, email, and virtual meetings (occasional in-person, as needed)
Assist in managing and resolving resident accounts, including processing rent payments, lease renewals, and maintenance requests accurately and efficiently
Coordinate and schedule maintenance and repair services with residents and maintenance staff to address issues promptly and minimize disruptions
Assist in lease administration, including lease renewals and terminations
Manage administrative tasks such as data entry, record keeping, and report preparation, maintaining accurate resident records and documentation, including lease agreements, move-in/move-out inspections, and correspondence
Collaborate with property management team members to address resident issues and improve overall resident satisfaction
Stay informed about property management policies, procedures, and regulations to ensure compliance and provide accurate information to residents
Handle resident complaints and escalate complex issues to the appropriate management personnel for resolution
Continuously strive to enhance the resident experience by proactively seeking feedback, identifying areas for improvement, and implementing solutions


Essential Qualifications, Skills, and Abilities
To be successful in this role, you will need to possess the following essential qualifications, skills, and abilities:

Work Experience: Previous customer service experience is required, with experience or equivalent education relating to property management, real estate, or a similar field highly desired but not required
Education: A minimum requirement of a high school diploma or equivalent is required, with a degree or certification in property management, leasing, maintenance, tenant relations, and fair housing regulations highly desired but not required
Core Competencies:

Excellent communication and interpersonal skills, including verbal, written, and technical literacy/communication skills
A friendly, positive attitude with a strong customer service orientation
Results-driven and goal-oriented, with the ability to be both a highly organized task manager and an independent operator who can execute initiatives, exercise excellent judgment, and make an impact
Highly team-oriented, with a strong desire to work collaboratively with others to achieve common goals
Ability to handle multiple tasks and prioritize effectively


Technology: Basic knowledge of property management software and MS Office, with previous experience or familiarity with Asana, Corrigo, and/or Rent Manager a plus but not required


Availability and Location
This is a hybrid role, and you must be willing and able to work from our corporate office in Tustin, CA on a hybrid basis. The standard working hours are Monday to Friday, 8am-4:30pm, with flexibility to work outside of standard office hours as needed occasionally.
