Data Migration Specialist (ConvertKit + Thinkific → Circle) — Cleanup, Deduping & Tag Organization

I’m looking for an experienced CRM/data migration specialist to clean up and merge contact data from primarily ConvertKit and Thinkific, as well as CSV files, into one unified database, and then import the cleaned contacts into Circle with correct tags and access levels. This project involves spotting duplicates (including multi-email users), organizing tags, resolving inconsistencies, and delivering a clean system I can confidently use moving forward. Build One Unified Master Database Export all subscribers/customers from ConvertKit & Thinkific Normalize and clean all fields (email, names, tags, purchase history, etc.) Identify and merge duplicates (especially users with multiple emails) Choose primary emails using clear logic Consolidate everything into one clean, deduped master list 2. Prepare and Import Data into Circle Set up correct tags and member categories Import clean database into Circle Verify correct access levels for customers Ensure no duplicates or broken access after import 3. Tag Cleanup & Light Strategy Clean and organize existing ConvertKit tags Remove redundancies and conflicts Suggest improvements only where something is clearly broken Preserve existing structure where possible 4. Documentation & Final Handoff At the end of the project, provide: A short written summary of what was done A simple “database map” explaining fields & tagging structure A “how to maintain this going forward” guide A Loom walkthrough showing the final system What Success Looks Like By mid-January, I want to have: A clean, consolidated, accurate contact database All duplicates resolved Correct primary emails per person Clear and consistent tags Correct access levels inside Circle Documentation that makes future maintenance easy Who I’m Looking For Must Have: Very strong attention to detail Excellent problem-solving skills Comfortable with messy data Comfortable making clear recommendations Able to work independently Clear & simple communication (Loom + email) Technical Requirements: ConvertKit export/import + tag/segment structure Thinkific user/purchase data exports Circle member import + tag/access setup CSV cleanup, deduping, normalization Ability to resolve multi-email duplicates Confident building a unified dataset from multiple sources Bonus: Airtable, Google Sheets fuzzy match, Zapier background.
