Why This Role Matters The Data Entry Specialist is the backbone of our information ecosystem. Your meticulous work ensures that every client contract, equipment inventory, service ticket, and performance metric is captured correctly and promptly. By maintaining clean, reliable data, you empower operational leaders, finance teams, and executive stakeholders to make informed decisions that keep our facilities running smoothly and our clients satisfied. Key Responsibilities Data Capture & Entry: Accurately input a high volume of information—including work orders, vendor invoices, asset records, and compliance documentation—into Joblora’s centralized databases and cloud‑based management platforms. Verification & Quality Assurance: Perform routine cross‑checks, validation routines, and spot audits to confirm data completeness, consistency, and adherence to predefined formatting standards. Report Generation: Assemble daily, weekly, and monthly reports for internal teams and external clients, utilizing Excel pivot tables, Power BI dashboards, and custom reporting tools. Data Integrity Maintenance: Conduct systematic data audits, identify duplicate or erroneous entries, and remediate issues in collaboration with the IT and compliance departments. Discrepancy Resolution: Partner with field technicians, accountants, and project managers to investigate and resolve data mismatches, ensuring a single source of truth. Regulatory Compliance: Uphold data protection policies, including GDPR, CCPA, and industry‑specific confidentiality guidelines, by applying appropriate security protocols and access controls. Administrative Support: Provide ancillary assistance such as scheduling meetings, preparing presentation materials, and managing digital filing systems to keep the office operating efficiently. Process Improvement: Offer suggestions for workflow enhancements, automation opportunities, and best practice documentation to continually elevate the data management function. Essential Qualifications High school diploma or equivalent; an associate’s degree or certification in data entry, office administration, or a related field is preferred. Minimum of 2 years proven experience performing data entry tasks in a fast‑paced, high‑accuracy environment. Exceptional typing speed (at least 75 WPM) with a 99% accuracy rate. Proficiency in Microsoft Office Suite—especially Excel (advanced formulas, VLOOKUP, conditional formatting) and Word—and familiarity with data entry or ERP software such as SAP, Oracle NetSuite, or a proprietary Remotexa platform. Strong analytical mindset with the ability to spot inconsistencies and resolve them proactively. Excellent organizational skills, capable of juggling multiple priorities without compromising quality. Self‑motivated work ethic; ability to work independently while maintaining open communication with team members and supervisors. High level of integrity and commitment to confidentiality of client and company information. Preferred Qualifications & Nice‑to‑Have Skills Certification such as Certified Data Management Professional (CDMP) or Microsoft Office Specialist (MOS). Experience with data visualization tools (Power BI, Tableau) and basic SQL query writing. Knowledge of facility management terminology, asset lifecycle concepts, and service ticket workflows. Previous exposure to remote work environments and virtual collaboration platforms (Microsoft Teams, Zoom, Slack). Demonstrated ability to contribute to continuous improvement projects, such as Lean or Six Sigma initiatives.
