Job Overview
The Data Entry Operator role is vital to the smooth functioning of arenaflex’s operations. You will be responsible for transforming paper‑based and electronic source documents into accurate, searchable, and actionable data within our enterprise systems. Working closely with a Data Manager and a collaborative team of data specialists, you will ensure that customer profiles, account records, and shipment details are entered, verified, and maintained with the highest level of precision.

Key Responsibilities
Core Data Entry Activities

Enter customer and account information from a variety of source documents (invoices, shipping manifests, order forms, etc.) into arenaflex’s internal databases while meeting established time‑sensitive targets.
Compile, organize, and prioritize incoming data sets to create clean, ready‑to‑process input files.
Perform real‑time validation of entered data, checking for missing fields, typographical errors, and format inconsistencies.
Correct identified discrepancies, resolve incompatibilities, and document remediation steps according to standard operating procedures.
Scan, index, and archive physical documents when required, ensuring they are securely stored and easily retrievable.

Quality Assurance & Compliance

Conduct systematic reviews of entered records to guarantee alignment with arenaflex’s data integrity policies.
Report any recurring data quality issues to the Data Manager and contribute to the development of corrective action plans.
Maintain strict confidentiality of all customer and internal information, adhering to GDPR, CCPA, and other relevant data‑privacy regulations.
Follow established security protocols for handling sensitive information and for the proper use of office equipment.

Collaboration & Support

Respond promptly to internal queries regarding data status, access permissions, or document retrieval.
Assist teammates in locating missing information, conducting supplemental research, or escalating complex cases to senior staff.
Participate in regular team meetings, share best practices, and contribute ideas for process improvements.
Provide feedback on software usability and suggest enhancements that could boost efficiency or reduce error rates.

Essential Qualifications

Proven experience as a Data Entry Operator, Data Clerk, Office Assistant, or in a comparable role with demonstrated accuracy and speed.
High proficiency with Microsoft Office Suite (especially Excel, Word, and Outlook) and familiarity with web‑based data entry platforms.
Demonstrated ability to operate office equipment such as scanners, fax machines, and multi‑function printers.

Exceptional command of English spelling, grammar, punctuation, and numeric entry conventions.
Strong attention to detail and a systematic approach to verifying information.
Ability to maintain confidentiality and handle sensitive data responsibly.
Organizational skills that enable you to stay focused on multiple, simultaneous tasks without sacrificing quality.

Preferred Qualifications & Additional Assets

Experience with CRM systems (e.g., Salesforce, Zendesk) or specialized logistics software.
Familiarity with database query tools (SQL basics) or data‑validation scripting.
Prior exposure to regulated industries such as transportation, e‑commerce, or financial services.
